Wage Range: $17.63 - $22.82

SUMMARY: The Accounts Payable Executive Specialist manages the full cycle of the district's procurement-to-payment process. This role ensures all vendor obligations are met accurately and timely across all fund accounts while maintaining rigorous internal controls for deposits and expense reconciliations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:ย Other duties may be assigned.

  • Invoice Processing:
    • Monitor the central invoice email, print and organize invoices, and process "Okay to Pay" vouchers through the finance system for all buildings.
    • Enter and process recurring invoices, including but not limited to EduStaff, utilities, food service suppliers, and purchase cards.
  • Payment Execution:
    • Perform weekly check runs and process EFT payments for utilities, suppliers, and other district vendors.
    • Monitor payments for unorthodox, unallowable, or inconsistent purchase and practices.
  • Cash Management:
    • Organize and enter building deposits into the finance system for every Fund Account, including Brightwheel site deposits.
    • Update Fund reports related to Activity, Bonds, and Sinking Funds.
  • Procurement Support:
    • Process Purchase Orders (POs) and serve as the district's primary contact for major vendors, including but not limited to Amazon, School Specialty, and Staples.
  • Tax & Compliance:
    • Execute annual 1099 processing and ensure accurate coding for all district-wide purchase card charges.
  • Operations Support:
    • Provide all necessary reports to district administration and auditors.
    • Produce all AP/AR related journal entries.
    • Provide training, support, and communication to district employees on the purchasing and deposit processes.
    • Process mileage and conference forms for the Finance Department.
    • Prepare correspondence such as letters, memos, email, reports, and forms.
    • Manage breakroom and supply closet inventory and filing property tax forms as required.
    • Maintain the ability to provide short-term assistance to other finance areas during peak periods to ensure departmental continuity.

QUALIFICATION REQUIREMENTS:ย To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED) with 2-3 years of related experience and/or training. Associate's Degree in Business/Accounting/etc. preferred. Possession or ability to obtain a Michigan School Business Officials (MSBO) Business Office Specialist certification within two years of hire.

LANGUAGE SKILL:

Ability to read and interpret documents and procedure manuals. Ability to write routine reports, correspondence, and create how-to manuals. Ability to speak effectively with parents, staff, and students. Demonstrated effective phone etiquette.

MATHEMATICAL SKILLS:

Ability to perform basic math computations including rates, ratios, and percents using whole numbers, common fractions, and decimals.

REASONING ABILITY:

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Demonstrated ability to use good judgment in decision-making.
