MHK /Accounting Assistant

Mental Health Kokua (MHK) is looking for an experienced and detailed-oriented Accounting Assistant to assist the Accounting Department in a dynamic office setting. Please see job description below. Employee benefits include:

POSITION GOALS:

Maintains accounts receivable system in conformance with agency accounting procedures and

generally accepted principles of accounting. Manage all accounts receivable related tasks and

provide accounting support for agency administration.

ESSENTIAL FUNCTIONS

1. Process and record rent, PSF& food schedules into the MIP system and EZClaim.

Contact bookkeepers/coordinators if there’s discrepancy in the schedules.

2. Maintain a file system for all rent, PSF & food schedules.

3. Review tenant refund request submitted by coordinators & prepare a refund check

requisition.

4. Reconcile liability accounts 2080,2081,2082, & 2083 on a monthly basis.

5. Maintain a daily cash receipts log for all cash & checks received.

6. Make at least a once a week deposit to the bank. Large amount of check should be

deposited on the day it is received.

7. Record and balance Cash Receipts in MIP.

8. Post all other insurance payments in EZClaim

a. payment reports must be equal to the amount of the check

b. breakdown of payments by invoice# and account codes

c. log to daily cash receipts

9. Download all denied claims for other insurance billings in Google drive and email to the

respective bookkeepers with instructions to research correct and re-submit. Make one

copy for accounting files.

10. Reconcile the monthly Ohana Case Management capitation listing then submit to

Accounting Supervisor or Designee to review, finalize, and record in MIP.

11. Process AMHD 835 reports every Friday and provide payment reports for reconciliation

in excel upon request by the supervisor.

12. Prepare invoices for AMHD cost reimbursement billings.

13. Prepare & balance the monthly County financials. Print reports for CFO.

14. Download AMHD authorizations in Google drive and email to notify the respective

location and coordinators. Maintain files for all AMHD authorization received.

15. Cross-training to learn AMHD electronic billings.

16. Performs other related duties as assigned by Management/Supervisory staff.

QUALIFICATIONS & EXPECTATIONS:

To assist people with psychiatric disabilities ranging from transitional issues such as anxiety and

depression, to life-long, serious mental illness; e.g., schizophrenia; bi-polar disorders; and

behaviors that may involve psychosis (i.e., hearing voices; visual hallucinations; delusions, etc.).

To facilitate stressful situations and emotional conflicts with persons served and other

stakeholders as part of your job.

Education & Experience:

Minimum Qualifications: High school diploma or equivalent. Three (3) years of work

experience in fund accounting preferred. Strong accounting and spreadsheet computer skills.

Preferred Qualifications: Business school graduate or equivalent, with emphasis on accounts

receivable and work experience in accounts receivable.

Professional/Personal Skills: Ability to serve as a positive mentor for adults with mental illness

needing assistance with daily living skills and community acceptance. Desirable characteristics

include tolerance in crisis or stressful situations; able to work as part of a team, good

interpersonal and problem-solving skills; flexibility; good oral written and communication skills.

LICENSES & CERTIFICATIONS:

Pre-employment:

 Criminal Background Check

 Health Clearance

 Current TB Clearance or TB X-Ray (two-step TB Clearance is required for TLP location)

 High school diploma or equivalent and/or official College Transcripts (mailed from the

school directly to MHK)

If applicable for the position:

 Current CPR & First Aid Certificates

 Copies of current professional licenses held

 Current valid Hawaii driver’s license, vehicle insurance & safety inspection

 Current safe driving record as documented by a Traffic Abstract

PHYSICAL DEMANDS:

The physical demands described herein are representative of those that must be met by an

employee to successfully perform the essential functions of this job. Reasonable

May occasionally be required to lift up to 25 pounds in a work setting. Must talk and hear

frequently for telephone use and basic communication. May periodically sit, stand, bend, stoop,
