Job Description

Job Summary

The Development Operations Coordinator serves as a member of the Cleveland Institute of Music’s (CIM) Development team and will be fully versed in and exposed to the daily development operations of CIM; performing as a key figure in the effectiveness and overall ability of the department to achieve its fundraising goals, steward donors, and maintain financial records of donations. Under the direction of the Associate Director, Individual Giving, the Development Operations Coordinator will support the implementation of fundraising strategies to increase contributed revenues from donors to CIM.

Primary Duties and Responsibilities

  • Manage and coordinate all data in Raiser’s Edge including:
    1. Processing donations, payments, and pledges accurately and in a timely manner.
    2. Performing development-related data entry and maintenance of Raiser’s Edge, to ensure database integrity of all donor records, including entering new and updating constituency accounts, relationships, event participation, etc.
    3. Generating acknowledgements for all gifts in a timely and accurate manner, and keeping text updated to reflect the latest news and activity from CIM.
    4. Providing database support for the Development team and CIM including, but not limited to, list generation, analysis of trends, and campaign progress reporting.
    5. Reviewing department standards and policies for database and processing gifts and suggest improvements and being aware of industry standards.
    6. Serve as liaison to Raiser’s Edge and provide input during contract negotiations and representing CIM’s data needs.
    7. Support research and prospect management activities in Raiser’s Edge.
    8. Assist with scholarship, prize and endowment fund reporting, lifetime giving initiative, and other major gift and campaign related reports.
    9. Support with CIM’s annual benefit concert by processing all pre-event registration to contribute to the overall success of the event.
  • Act as the day-to-day Development contact for the Finance team:
    1. Handle payments to ensure proper tracking and coding.
    2. Perform regular reconciliations with finance.
    3. Ensure proper gift and pledge documentation and support the annual audit process.
  • Assist with email, Direct Mail, and other broad-based campaigns by.
    1. Providing supporting data to determine leads in accordance with mailing schedules.
    2. Tracking Direct Mail ROI including weekly metrics updates and analyze results to formulate recommendations on campaign.
    3. Assisting the Development team in planning for all campaigns, adhering to the Development & Marketing calendars.
  • Serve as a customer facing member of the Development Team:
    1. Answering and returning calls from patrons and donors in a timely manner, in coordination with the Development team. Provide excellent customer service to all callers.
    2. Attending events as a representative of CIM, including but not limited to: Annual Meeting, concerts, and Governing Members events.
  • Other duties as assigned.


Education, Experience and Qualifications

  • Bachelor’s degree.
  • 1-2 years’ experience in gift processing and data analytics preferred.
  • Strong preference for demonstrated experience in a performing art setting or interest in the performing arts. Working knowledge of classical music, a plus.
  • Extensive computer skills and familiarity with databases, especially Raiser’s Edge, including experience running queries, exports, and batch processing.
  • Proficient in Microsoft programs, including but not limited to Excel, Outlook, and Word.
  • Ability to adjust schedule as needed for support at functions, which frequently occur on evenings and weekends.
  • Ability to handle multiple responsibilities and projects, meet deadlines and ensure accuracy of data and information in a fast-paced work environment.
  • Ability to do basic accounting and mathematical computations with a high degree of attention to detail.
  • Ability to communicate effectively with individuals.

Working Conditions/Physical Requirements

Professional working environment. Must be willing to work evenings and weekends when required.

Position requires occasional lifting up to 20 pounds, perhaps once per week. Position involves occasional driving to concerts and other events outside of the office (1-3 times per month, depending on time of year). Heavy computer usage and frequent phone usage. Incumbent will spend 90% of the day sitting.
