About Us:
The United States Swim School Association is run by a dynamic yet small virtual Arizona office that works together with a volunteer board and committees to bring passionate people together to share and inspire each other in support of better, safer swim school businesses.

Who we are looking for:
We are seeking a highly motivated and organized individual to join our team as a Part-Time Event Planner at 30 hours per week. This role is crucial in supporting our growing association and membership, offering the opportunity to work remotely and collaborate with volunteers in content creation while also planning, organizing, and executing all aspects of events including conferences, seminars, workshops, and webinars.

Job Responsibilities:
Networking and Relationship Building:
Build and maintain relationships with key stakeholders, including members, sponsors, exhibitors, speakers, and vendors, to support the association's mission and objectives.

Program Development: Collaborate with staff and committee members to develop event agendas, select topics/speakers, and organize sessions that align with the association's goals and interests.

On-Site Management: Oversee all on-site logistics during events, including meeting room set-up, food and beverage, coordination of AV contractors, signage, transportation, volunteer coordination, exhibitor coordination, and troubleshooting any issues that may arise.

Sponsorship and Exhibitor Management: Coordinate and manage exhibit booth requirements, develop sponsorship opportunities, and manage relationships with sponsors and exhibitors to ensure their needs are met and their contributions are recognized at association events.

Budget Management: Develop and manage event budgets, including negotiating contracts with vendors and suppliers to ensure cost-effectiveness.

Post-Event Evaluation: Collect feedback from attendees, sponsors, and exhibitors to evaluate the success of events and identify areas for improvement for future events.

Compliance and Risk Management: Ensure events comply with relevant regulations and guidelines, such as health and safety regulations. Manage risks associated with events and implement contingency plans as needed.

Venue Selection: Research appropriate venues for events, considering factors such as location, capacity, facilities, and budget.

Marketing and Promotion: Work with staff to develop promotional materials, create event websites, and utilize social media and email marketing to promote events and increase attendance.

Youll Fit Right in If You Have:
  • Previous experience planning and executing events, preferably within a professional or trade association setting, CMP is desired
  • Demonstrated ability to handle various logistical aspects and ensure the smooth execution of in-person events with around 400 attendees and 40 exhibitors
  • Exceptional organizational skills with attention to detail and follow through
  • High efficiency while also maintaining accuracy
  • Ability to thrive in a virtual work environment and maintain a high level of accountability
  • Strong communication and interpersonal skills, with the ability to work well in a team and build relationships
  • Ability to adapt to changing circumstances, solve problems efficiently, and make quick decisions during events to ensure their success
  • Proficiency in developing and managing event budgets, including cost negotiation with vendors and suppliers, tracking expenses, and ensuring cost-effectiveness without compromising quality
  • A natural ability to learn with a strong desire to constantly grow
  • High quality work standards, honesty, and integrity
  • Proficiency in Google Workspace and other relevant software

Schedule:
This is a part-time position in Arizona requiring 30 hours per week, with flexibility in work hours. The successful candidate must be available during core business hours, be available for monthly in person meetings in Arizona, and be willing to travel to our multi-day workshop and conference, as well as site visits as needed.

This is a remote position.
