Calyx Living is actively seeking an energetic Business Office Coordinator for our assisted living community located in beautiful North Durham off the Eno River and just minutes from Duke University, the Durham Bulls Athletic Park and the American Tobacco Campus in downtown Durham's vibrant entertainment district.

Calyx is looking for a Business Office Coordinator to assist the Executive Director with the overall business functions of the community including hiring, payroll, billing and maintenance of the administrative systems in accordance with Calyx Assisted Living standards. As the face of Calyx, the Business Office Manager must be gracious and professional with all visitors while possessing the ability to stay on-task and completing required work.

The responsibilities of the Business Office Coordinator position include, but are not limited to:

  • Support Executive Director in the management of payroll, hiring, Human Resources policies and practices, billing, collections as well as general administrative functions.
  • Maintain personnel files according to Calyx policies and regulations.
  • Answer and screen/route phone calls and visitors per Calyx policies.
  • Document concerns from callers and forward to the appropriate Calyx Director.
  • Support marketing efforts by taking leads and from potential interested family/friends supporting with tour.
  • Support resident care with recruitment and hiring activities.

QUALIFICATIONS

  • Demonstrates an interest in working with the senior population.
  • Minimum of a high school degree plus two years of business school or college including accounting/bookkeeping courses.
  • Minimum of three years' experience as an administrative assistant or general office staff with basic accounting knowledge.
  • Proficient in Microsoft Word, Excel and working knowledge of accounting and payroll software preferred.
  • Previous experience in Accounts Payable and Payroll a plus.
  • Must possess good telephone and interpersonal communication skills and the ability to manage responsibilities while handling phone and in-person visitors.
  • COVID-19 vaccine and booster is required
