Overview

We are looking for a full-time Director, Business Office to join our team! Responsible for overseeing the Admission, Private Pay Collections, and Revenue Cycle functions within the Otterbein Small House Neighborhoods. This includes auditing and evaluating these functions. This position directly oversees the Medicaid Specialist.

Responsibilities:

Private Pay (PP) Collections

  • Private collections; including collection calls and letters per Collections policy.
  • Identify accounts with payment issues
  • Ensure proper steps are taken/escalated to ensure payment
  • Electronic Funds Transfer (EFT)
  • Oversee annual EFT Blitz
  • Support escalated accounts for statement/billing questions and concerns
  • Resident Trust Management System (RFMS)
    • Manage RFMS payment sweeps
    • Enroll elders in direct deposit of income/follow-up on Representative Payee enrollments
  • Aging
    • Complete monthly aging reviews for all Private Pay (PP) accounts
    • Prepare and facilitate monthly Aging calls with the neighborhood
    • Facilitate collection calls and letters on accounts
    • Make referrals for outside collections
  • Monitor co-payments due for all skilled elders
    • Ensure prompt payment
  • Document Manager
    • Monitor new admission paperwork to ensure completion for responsible party
  • Ensure welcome letters are sent to all new admissions.
  • Monitor and assist in reviewing incoming financial disclosures for payment ability

Revenue Cycle

    • Monitor and assist in the Qualified Income Trust (QIT) Accounts for compliance with Medicaid Requirement as overseen by the MCD Specialist.
    • Serve as QIT Trustee for Otterbein locations as needed.
    • Oversee Medicaid pending cases, ensure compliance with procedures and re-enrollment.
    • Oversight of Resident Trust Accounts (RTA), and compliance with Regulations.
    • Provide training and assistance with A/R Aging to Medicaid Specialist.
    • Facilitate monthly A/R Aging calls with each Neighborhood.
    • In conjunction with the Guides and Home Office Accounting, drive Days Sales Outstanding (DSO) and Bad Debt to meet/exceed annual targets.
    • Assist VP of Operations, CFO and Billing Director with identification of collection or payer issues.
    • Audit Petty Cash for compliance with regulations with a minimum of quarterly reconciliations.

Business Office Coordinator (BOC)

  • Maintain and update BOC training manuals, as needed.
  • Deliver initial BOC training and coordinate/schedule ongoing support as needed.
  • Provide feedback on systems monitored/controlled by BOC to the Guides.
  • Oversee the Neighborhood credit card receipts collection to ensure compliance.
  • Oversee the audit of partner files and background verifications for completion and accuracy, before survey or quarterly.

Admissions/Housing Coordinator (HC)

  • Maintain and update HC training manuals, as needed.
  • Deliver initial HC training and coordinate/schedule ongoing support as needed.
  • Provide feedback on systems monitored/controlled by HC to the Guides.
  • Maintain and distribute updated Admissions Agreements, Consent for treatment and other documents required for admissions compliance via Document Manager, as needed.
  • Monitor compliance with 7000 Form, PAS/RR (HENS System), Level of Care (LOC) completion.

General

  • Maintain W -Drive system for Insurance Contracts Grid, completed reports, census transmittals, weekly controllable reports, PPD Tracker and other key indicators.
  • Attend ODH survey as deemed necessary for support.
  • Complete MOCK survey for all Neighborhoods, Resident Trust, NOMNC and ABN compliance.
    • Assist with QAPI for identified issues.
  • Ensure relevant Otterbein policies and procedures are up to date per current regulations.
  • Support VP and AVP of Neighborhood Operations, Executive Leadership, Home Office support, and Internal Auditor(s) with Special Projects, as needed.
  • Adhere to Corporate Compliance Program, including confidentiality HIPPA protected health information.
  • Attend Neighborhood Leadership Team and Operations meetings and other trainings for Neighborhood and actively participate as needed.
  • Other duties as required and assigned.

Supervisory Responsibilities:

Medicaid/Private Pay Specialist

Minimum Knowledge, Skills and Abilities Required:

  • Strong knowledge of nursing home billing software required; PointClickCare preferred.
  • Prior experience as a Business Office Manager in a skilled nursing facility preferred.
  • Thorough understanding of Medicare, Medicaid and MyCareOhio rules and regulations.
  • Proficient with Resident Trust regulations, including Qualified Income Trust.
  • Thorough understanding of Ohio Department of Health regulations in a long term care setting.
  • Strong organizational and excellent customer service skills
  • Strong oral and written communication skills
  • Intermediate to advanced Microsoft Office skills including Outlook, Excel, and Word.
  • Attention to detail and follow through.
  • Ability to handle multiple projects simultaneously
  • Ability to work and communicate with all levels of the organization, in person and remotely
  • Ability to work independently and within a team setting
  • Serve as project manager for special projects and initiatives.

Qualifications:

  • Bachelor's degree.
  • At least five years' experience in a senior living or healthcare environment required.
