Job Description
This position is a one year long full-time internship.

This position is critical to the ministry of Sky Ranch and contributes directly to our mission of leading youth and families to know and follow Christ. The Programs and Operations Specialist supports the mission of Sky Ranch by providing both direct and indirect support to/with other full-time staff and guest sponsors and their group participants to ensure a well-coordinated retreat experience. This role works to project a positive and embracing demeanor in order to establish, nurture, and enhance internal and external relationships and ensures that guests have a well-orchestrated camp experience. The Programs and Operations Specialist will be responsible to ensure that our guests experience the WOW factor and are served in such a manner that reflects 1) our desire to serve them, 2) our appreciation of them, and 3) satisfactorily meets their needs and expectations. The Programs and Operations Specialist will provide operational and logistical support for summer and non-summer months.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Daily Programs Staff must be able to maintain safety according to policy and procedures at each location where properly trained to facilitate or work, provide correction amongst peers regarding jobs and have a desire to learn how to manage, facilitate and maintain areas. Performance is satisfactory when:
    • Reports any faulty activity equipment.
    • Take directions from leadership staff as well as any full-time staff of Sky Ranch in a prompt and respectful manner.
    • Conduct activities in accordance with Sky Ranch Policy and Procedures and training.
    • Go over all rules and safety precautions at the beginning of every activity period. Keep First Aid Kits well stocked.
    • Conduct themselves in a mature and professional manner.
    • Arrive to assigned area and prepared for guests in a timely manner.
    • Notify the Camp Director if you are sick immediately.
    • Provide First Aid care when needed.
    • Properly execute all Emergency Plans when needed.
    • Call the correct personnel when an incident happens and carry out Sky Ranch policy for the particular incident.
    • Other duties will be assigned by Camp Director or other Lead Retreat Coordinator on duty.
    • Properly execute Opening/Shutdown procedures.
    • Report any other staff that are not being cooperative, communicating, showing up late, distracting others perform their duties while working, ending activity period early, or not properly rotating positions (if needed).
  • Daily Operations Performance is satisfactory when:
    • Guests are served in a manner that reflects their importance to us. As our customers, they are our sole reason for existence. Therefore, we will seek to treat them with gentleness, kindness, fairness, respect, and eagerly seek to meet their needs to the best out our abilities. Attitudes should reflect as this is their camp, not ours.
    • Any situation where we fail to serve/please guests is brought to the attention of and discussed with the Operations Manager. In those cases, an attempt will be made to resolve the problem, design a system that prevents a recurrence, or offers an apology and/or refund.
  • Provide support in hosting groups, aid in working with retreat group leaders and their guests to exceed expectations of Sky Ranch.
  • General cleaning: bunkhouses, meeting rooms, office spaces, Ranch House, etc.
  • Maintain outstanding customer service

OTHER DUTIES AND RESPONSIBILITIES

  • Maintain compliance with Sky Ranchs employee policies and procedures.
  • Maintain compliance with all state and federal laws and regulatory requirements.
  • Perform other duties as required.

QUALIFICATIONS:

EDUCATION
  • High School Degree

EXPERIENCE
  • Two to four years of related experience

CERTIFICATES, LICENSES, REGISTRATIONS
  • Ministry Safe

KNOWLEDGE

  • Knowledge of principles and processes for providing excellent customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Proficient working knowledge and ability to use various office software including, but not limited to, Microsoft Word, Excel, Outlook.
  • Basic internet and social media skills.

  • Ability to plan, manage, and report budgets proficiently. Exceptional financial management skills.
  • Ability to provide strategic and logistical planning and facilitate meetings, conferences, workshops, and/or retreats as required.
  • Ability to investigate and analyze information and draw conclusions.
  • Ability to exercise independent thinking and initiative.
  • Excellent, professional written communication skills.
  • Ability to speak clearly in face to face interactions; to articulate with accuracy on the telephone and through e-mail.
  • Excellent listening skills.
  • Excellent organizational skills; ability to multi-task and manage a variety of tasks.
  • Ability to maintain confidentiality.

  • Office Equipment

WORK ENVIRONMENT

  • Works indoors in normal office environment about 8 months of the year; works indoors and outdoors the other time, exposed to the seasonal weather elements of Oklahoma.
  • Limited exposure to physical risk.
  • Ability to travel to various geographic locations, including travel by car, and some overnight stays including weekends.
  • Shared housing on road and at camp.

PHYSICAL DEMANDS

  • Some physical effort required. Ability to use up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently to move objects. During summer months, ability to use up to 50 pounds of force occasionally.
  • Ability to grasp, push, pull, carry or otherwise manipulate objects; ability to perform tasks requiring action of muscles or groups of muscles and foot and/or hand-eye coordination.
  • Requires constant physical agility during the summer months, including but not limited to: bending for items below or reaching for items above the individual; crawling under desks; stooping, and climbing step stools or ladder.

Must demonstrate annually a clear background check and review of child safety practices as required for camp accreditation by the American Camping Association.
