Position Summary: The Surgical Coordinator and WC/PIP Liaison position is a full-time, non-exempt (hourly) position at the Center for the Functional Restoration of the Spine. The Center for the Functional Restoration of the Spine (CFRS) is an Ortho-Spine specialty practice with clinical sites in Shrewsbury, Toms River, and Edison, New Jersey. There are several key differentiators that allow this practice to stand out amongst the rest – most notably their complicated revision case load and use of robotics in the operating room which substantially improves their patients’ surgical outcomes compared to the traditional surgical approach still being implemented by all other spine specialists in their market. Their proven approach has yielded significant reductions in patients’ length of stay which is not only beneficial to the patient but also our carriers in total reimbursements to the hospital. In addition, we offer onsite x-ray, epidural injections, facet injections, SI joint injections, trigger point injections, RFA – radio frequency ablation, and fracture care.
The Surgical Coordinator and WC/PIP Liaison play a vital role in our practice. They are responsible for coordinating surgical procedures beginning from preoperative consultations to postoperative follow-ups. The Surgical Coordinator and WC/PIP Liaison assists in scheduling surgeries, liaising with insurance providers, and ensuring the patient understands the surgical process. In addition, coordinates care and maintains contact with Workman’s Compensation and Motor Vehicle Accident patients, their attorney’s, outside investigators, case managers, and other health professionals.
Responsibilities include, but not limited to:
- Schedule and coordinate surgeries, liaise with surgeons, and gather relevant medical information from the patients.
- Coordinate preoperative consultations, including medical and imaging tests.
- Liaise with insurance providers to obtain pre-authorization for surgical procedures.
- Ensure that the patient understands the procedures, risks, and benefits of surgery.
- Prepare surgical consent forms and other necessary documents.
- Assist in the management of postoperative care and follow ups.
- Update patient records and maintain appropriate documentation.
- Coordinates care and maintains contact with Workman’s Compensation and Motor Vehicle Accident patients, their attorney’s, outside investigators, case managers, and other health professionals.
- Ensure compliance with HIPAA and OSHA regulations.
- Other duties as assigned.
Experience Required:
- Bachelor’s degree in healthcare administration or a related field with minimum of three years’ experience in surgical coordination or related field, or
- Associate degree in healthcare administration or related field with a minimum of five years’ experience in surgical coordination or related field or
- High School Diploma or GED with a minimum of seven years’ experience in surgical coordination or related field.
Skills Required:
- Ability to work collaboratively in an ethnically, linguistically, and culturally diverse environment.
- Previous surgical coordination and workman’s compensation/motor vehicle experience; preferably in Orthopedic Spine Surgery or Orthopedic Surgery.
- Excellent communication skills, with the ability to communicate effectively with patients, healthcare professionals, and insurance representatives.
- Strong organizational skills, with ability to manage multiple priorities and deadlines.
- Detailed orientated.
- Strong writing skills.
- Strong knowledge of medical terminology, surgical procedures, and healthcare laws.
- Strong knowledge of ICD-10 and CPT codes.
- Must have a strong knowledge of medical practice management software (for example: Athena, Cerner, ECW, Epic) and electronic health records.
- Working knowledge of fax machines, copiers, scanners.
- Advanced word processing skills. Must be familiar with Windows environment and have a working knowledge of MS Word, Excel, PowerPoint, and Teams.
- Excellent interpersonal and communication skills; personable and professional telephone presence.
- Ability to handle confidential information with sensitivity and accuracy.
- Able to lift to 25 pounds.
- Requires prolonged sitting, standing, walking, computer use, telephone use, and hand dexterity.
- Fluency in Spanish, preferred.
