Job Description
Summary: The Sales & Catering Assistant is responsible for daily operation of the reception desk, which incorporates greeting of guests/clients, phone answering, and the booking of City Park’s catering venues using Department software. This position will supervise shelter bookings as well. Essential Duties and Responsibilities: Other duties may be assigned:
  • Professionally and efficiently handle multiple incoming phone calls and inquiries
  • Produce Contracts, Form Letters, Banquet Event Orders, Daily Reports and Room Diagrams as necessary
  • Generate complete and correct daily event schedules
  • Develop creative attractive menu presentations for potential clients
  • Organize and keep filing system of past groups
  • Assist the Sales Manager with correspondence, tasks, and projects as needed
  • Keep Event & Facility Managers informed of client concerns that need to be addressed
  • Provide support to service events in conjunction with the Catering Manager.
  • Deliver Passionate & Engaging Service to our Guests
  • You will be passionate and truly engaged in taking care of our guests, recognizing individual guests and anticipating their unique needs in order to exceed their expectations
  • Meets with assigned clients and patrons.
  • Books all Sales & Catering venues including not limited to Pavilion of Two Sisters, Arbor Room, Timkin Center, the Peristyle and various picnic shelters or open spaces.
  • Ensures that the Shelter facilities are well maintained in a good and safe condition; visually inspects the function rooms and surrounding areas for any possible safety hazards; Reports all deficiencies.
  • Answers basic questions concerning catering, facility rentals, etc.
  • Performs daily office functions such as copying, filing, typing, processing of incoming and outgoing mail, etc.
  • Processes all payments according to City Park Cash Handling Procedures.
Qualifications and education requirements:
  • High School education/GED with one to two years of customer service experience required.
  • Must be able to write simple correspondence. Must have the ability to effectively and respectively present information in one-on-one and small group situations to guests, clients, and fellow employees.
  • Must be to demonstrate basic knowledge of Excel and Word.
  • Must possess a current driver’s license.
  • Ability to work nights, holidays, and weekends as business dictates.
  • Must be able to work outdoors.

The employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds, and occasionally lift and /or move up to 50 pounds. If over 50 pounds, additional help will be required from a fellow employee. Specific vision abilities required by this job include close vision, distance vision, and color vision.
