Summary
This position is responsible for inventory, warehouse management, product fulfillment, in-house engraving, facilities management, and shipping and receiving. Prepares, packages and ships of all letters and packages in the most efficient and cost-effective manner in accordance with all UPS, DHL, USPS and other regulations. Ensures shipping deadlines are met. Assists with the moving of furniture, office equipment, and large boxes or objects on-site. Responsible for delivery and retrieval of items from storage and warehouse.
All applicants should demonstrate an understanding of, and commitment to, hunting as an essential part of biologically sound and ethically responsible international wildlife management. The ideal candidate will have an existing knowledge of SCI’s current programs and mission and be passionate about hunter’s rights.
Responsibilities
- Stays current on all USPS, UPS, DHL, FedEx, Customs and other shipping industry regulations and standards. Maintain knowledge of USPS Standard Mail regulations for non-profit mailing.
- Determines best method of shipment by cost, deadline, value, etc. and completes customs declaration form if required.
- Processes outgoing parcels through computerized shipping systems in a timely manner according to customer requirements and charges appropriate account. Package for shipment loose materials received from staff.
- Maintains inventory of all meter machine supplies, shipping system supplies, and shipping carrier supplies to include ordering and purchase order completion.
- Compares identifying information and counts of incoming shipments to packing slip, bills of lading, invoices, orders or other records to verify accuracy.
- Manages international customs, duties and bond-house clearing. Address customs issues regarding package delay and takes corrective action
- For incoming and outgoing parcels, maintain necessary shipping documentation files to track missing and/or damaged parcel and to confirm delivery or submit insurance claim against damaged package and insure reimbursement payment from carrier.
- Assists in the creation of policies and procedures of the shipping, receiving, and mail operations.
- Maintains and secures in-house auction item inventory.
- Maintains shipping system database and runs daily shipping and mail reports.
- Collects and distributes inbound and outbound mail/parcels to the proper department/employee during scheduled “mail runs”.
- If needed, delivers mail to the post office at the end of the day via company or personal vehicle.
- Provides information on necessary equipment and supplies for preparation of the departmental budget. Makes recommendations which will streamline expenses and processes. Allocates financial resources and controls expenses throughout the year.
- Develops and maintains preventative maintenance schedule for all mechanical equipment and systems and arranges for service
- Oversees service and supply contracts and vendor relationships.
- Manages in-house engraving processes and procedures.
- Obtains and maintains SCI’s Federal Firearms License. Coordinates audit of firearms inventory and records it in log and reconciles discrepancies according to federal guidelines. Maintains documentation for possession and shipment of all firearms according to federal guidelines.
- Perform other related duties as assigned. Attends meetings, conventions, trade shows, and other events as appropriate.
Qualifications
- Broad experience in maintenance, shipping and receiving and knowledge of international freight requirements is required.
- This position requires a High School Diploma or equivalent and 7 years of experience in a related field.
- Must have a valid driver’s license and be insurable under the company insurance policy.
- Must be a certified forklift driver.
- Must be able to obtain an FFL

- Must demonstrate excellent communication skills, attention to detail, organizational skills and exceptional customer service.
- Must possess project management and contract negotiation skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Must have knowledge of database, word processing, spreadsheet software and knowledge of order processing systems
