Summary of Role:

Gold medal awarding-winning Glencoe Park District seeks an experienced Customer and Administrative Support Associate, under the direction and supervision of the Registration and Customer Service Manager. The position is responsible for essential customer service duties in order to provide high quality service to our external and internal customers. In addition, other duties include assisting patrons at the counter, answering telephones, processing registrations and monthly billing payments, facilitating park permits and donations, assisting finance with cash receipts, accounts payable and special projects, as well as act as support for District-issued cell phones and iPads. This full-time, non-exempt position is well suited for someone with a friendly and positive personality who is productive and shows initiative.

Required Knowledge and Skills:

  • Associate's degree preferred, with 1-3 years office experience required
  • Working knowledge of office procedures and most office equipment
  • Must possess excellent interpersonal skills, enjoy working with the public, and have a pleasant telephone manner
  • Individual will hold current CPR/AED/First Aid Certification or obtain certification within six months of hire
  • Good understanding of computer programs (Windows, Microsoft Outlook, Microsoft Word and Excel, Publisher, PowerPoint, etc.) and minimum word processing skills of 45+ words per minute, and date entry skills of 14,000 key depressions per hour
  • Knowledge of RecTrac recreation software is a plus, but not required


Essential Duties and Responsibilities:

  • Answer questions and public concerns, providing general information on all Park District programs, facilities, and procedures
  • Provide registration assistance to walk-up customers
  • Manage multi-line telephone system
  • Assist the Finance Department in cash receipt posting and general ledger interface and the accounts payable process
  • Responsible for facilitating bench and tree donations for the parks
  • Assist with the booking and assistance of parks for special events
  • Support the management of Park District-issued cell phones and iPads, including purchasing, setting up, updating, and troubleshooting issues
  • Contact participants of a class with any class changes, via phone or email
  • Proofread seasonal brochure copy
  • Perform other clerical duties such as photocopying, folding, stuffing, mailings and maintaining files of correspondence, records, reports, and any other materials
  • Maintain effective, cooperative working relationships with Department Heads and other employees
