Job Description

Position Summary:

The ideal candidate is initiatory, organized, comfortable in a fast paced environment, and determined to provide our clients with the highest quality service possible. This is an opportunity for someone who wants to learn while working in a position that requires problem solving, data entry, and creatively utilizing his or her technology experience.

Responsibilities:

  • Basic maintenance and organization of internal documents and templates
  • Data entry and distribution of template documents related to HR, subcontractors, and more
  • Data entry into Procore: Entering Direct Costs, Commitments, Invoices, and more
  • Identifying and managing potential office challenges
  • Effectively resolving any delays, emergencies, and office issues that may arise
  • Tracking and reporting progress while discussing technical matters with project team and upper management via Procore, email, and phone calls
  • Must be willing and prepared to assist with tasks necessary to achieve goals and success
  • Must readily and professionally communicate with and assist upper management with various tasks including, but not limited to: Preparing bids and proposals utilizing Cost Codes for Corporate office review, creating and syncing new Cost Codes in Procore, and more 
  • Answering/making calls and preparing/sending emails in a professional manner
  • Performing research to obtain information
  • Gathering documents to prepare for upper management
  • Coordinating travel arrangements for upper management
  • Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on the administrator's behalf
  • Maintaining comprehensive and accurate records
  • Plan and schedule appointments and events
  • Answer inbound telephone calls
  • Develop and implement organized filing systems

Qualifications:

  • Previous experience in office administration or other related fields preffered
  • Thorough knowledge of and interest in construction & general contracting
  • Procore experience preferred
  • Google Suite (Docs, Sheets, etc.)
  • Microsoft Office Suite
  • Dropbox
  • Adobe Acrobat (additional Adobe suite experience is beneficial)
  • Verbal and written communication skills
  • Highly organized and detail oriented
  • Ability to work in a fast-paced deadline-driven environment and think critically under pressure
  • Must be professional, articulate, friendly, punctual/timely, team-oriented, collaborative, and resourceful, 
  • Must have excellent time management, a positive attitude, proactivity, and self-direction
  • Ability to communicate effectively with clients, co-workers, sub-contractors, and more
  • Ability to create and support positive team health and morale
  • Excellent interpersonal and creative skills
  • Ability to maintain focus on goals combined with the flexibility to pivot when necessary
  • Results-oriented individual
  • Bachelor's degree
