POSITION SUMMARY

The Volunteer Coordinator is responsible for recruiting, training, and coordinating services provided by a team of volunteers. This position reports to the Director of Volunteer Services, but will be required to work independently consistent with Arkansas Hospice policies and procedures and Medicare standards.

QUALIFICATIONS

Education: High school diploma or GED required; Bachelor’s degree in Communications, Social Sciences, or related field preferred. Completion of Arkansas Hospice Volunteer Certification training is also required.

Experience: A minimum of one year previous related work experience.

Additional Requirements: Must be able to work flexible hours with some weekend and evening work; must have reliable transportation, automobile insurance, Arkansas driver’s license.

PRIMARY RESPONSIBILITIES

1. Organize and coordinate hospice volunteer certification training for assigned volunteer team to meet all applicable standards.

2. Assure that every patient/family understands volunteer availability upon admission to hospice by a phone call (7-10 days after admission) or direct information from the assigned Social Worker or RN.

3. Assign volunteers to meet patient/family needs and volunteer capabilities within 5 business days after request is made.

4. Monitor volunteer patient/family assignments.

5. Attend interdisciplinary team meetings and report all patient/family volunteer activities.

6. Complete monthly and annual volunteer service reports as required. (Maintain at least 5% of direct patient care staff/contract staff hours for volunteer hours).

7. Maintain at least 35% of patients with volunteers.

8. Document all Collaborative Service Requests, Phone Narratives and Volunteer Assignments in time sheet within 7-10 days of admission and follow assignment procedure.

9. Send monthly birthday cards to volunteers.

10. Maintain high professional standards to empower volunteers as integral team members.

11. Facilitate community awareness and support of volunteer program.

12. Develop and implement policies and procedures that encourage and enable volunteers to act as advocates for Arkansas Hospice programs in the community, both for referrals of patients and for contributions.

13. Attend community activities related to hospice.

14. Work effectively with all staff, board and volunteers

15. Follow up with active volunteers at least every other week by phone or in person.

16. Keep all volunteer files up-to-date with current information. Monitor and follow up with volunteers for the monthly updates needed: TB test, flu vaccine, car insurance, and driver’s license.

17. Educate direct patient care volunteers on the Lockbin electronic documentation, if wanted.

18. Call and record volunteer references after trainings.

19. Enter all data for volunteer and patient records.

20. Monitor all materials and manuals for volunteer trainings at least quarterly.

21. Discuss all activities with Director for approval.

22. Utilize supplies and monies as budgeted; obtain advance approval from direct supervisor for all expenditures over $25.00.

23. Maintain strict confidentiality at all times.

24. Utilize and model excellent customer service skills at all times; seek opportunities to assist patients, families and co-workers; demonstrate teamwork and cooperation.

25. Accept direction and follow instructions from supervisor; seek additional information as needed; work with minimal supervision.

26. Adhere to all organizational and departmental policies and procedures.

27. Continually meet organizational standards for attendance and punctuality; notify supervisor in a timely manner when employee will be absent or late for work.

28. Attend all required meetings and in-services; seek opportunities for additional professional development activities as appropriate.

29. Perform other duties as assigned.

Performs the above listed functions while regularly working with confidential and/or proprietary Arkansas Hospice and patient information, including but not limited to patient medical records, current or former employee information, Arkansas Hospice records, and other information that the employee regularly uses to perform job functions.
