We are seeking a friendly, organized, and customer-oriented individual to join our team as a Front Desk Coordinator at our cosmetic medical spa. As the first point of contact for our clients, you will play a crucial role in providing exceptional customer service and ensuring the smooth operation of the front desk area. The ideal candidate will have excellent communication skills, attention to detail, and a passion for providing a welcoming and positive experience for our clients.
Responsibilities:
- Greet and welcome clients in a warm and friendly manner
- Manage the front desk area and ensure it is organized and presentable at all times
- Answer phone calls, schedule appointments, and provide information about our services
- Check-in clients, verify their information, and assist with necessary paperwork
- Maintain a confidential and accurate client database
- Coordinate with the medical and aesthetic staff to ensure smooth workflow and efficient scheduling
- Process payments, handle cash transactions, and maintain accurate financial records
- Respond to client inquiries, concerns, and complaints in a professional and timely manner
- Assist with inventory management and restocking of retail products
- Maintain a clean and tidy reception area, including stocking brochures and promotional materials

- Help create content, picture/video taking during treatments and events
- Collaborate with the marketing team to promote special offers, events, and new services
- Adhere to all spa policies and procedures, including maintaining client confidentiality
- Stay up-to-date with industry trends and advancements in cosmetic procedures
Qualifications:
- High school diploma or equivalent; additional certification in customer service or hospitality is a plus
- Proven experience in a customer service or front desk role, preferably in a medical or spa environment
- Excellent communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficient in using computer software for scheduling, database management, and basic financial transactions
- Knowledge of cosmetic procedures, skincare products, and spa services is desirable
- Ability to remain calm and professional in stressful situations
- Flexible availability, including evenings and weekends, events, as per business needs
