Plumbing Payroll/Administrative Assistant-Plumbing

Essential Duties and Responsibilities:
Familiar with commission reconciliation.
Review and follow pay plans for technicians, installers, and sales leads.
Familiar with auditing jobs, job costing, and verifying revenue.
Monitor and track all department jobs.
Help with customer funding and follow up on accounts receivable.
Create, maintain, and generate reports for jobs (ex: batch invoicing), as well as department.
Input purchase orders into Service Titan while ensuring accuracy.
Assists with creating, maintaining, and implementing department policies and procedures.
Work with internal vendors regarding purchase order accuracy, replenishments, and issues.
Reconcile purchase orders and ensure jobs are closed correctly with the Accounting Dept.
Ensure Excel sheets for department are maintained, tracked and accurate.
Assist with closing the month – verify all jobs and revenue is accounted for and funded.
Supports management, dispatch, and other admins as point of contact.
Back up admin for time keeping, and time request.
Ensure timesheets are correct.
Attend department meetings and assist GM with any discussions needed.
Collaborating with other departments for support and any jobs done together.
Main point of contact to the service managers and assisting the GM with any additional needs.
Understand job timelines and know who to contact for issues.
Help train processes / procedures to dispatch and admins.
Ensure compliance with company safety policies.
May be required to work overtime.
Performs other relevant duties as assigned by the needs of the business.
Job Knowledge, Skills, and Abilities:
Advanced Excel skills

Familiarity with accounting principles, and contractors’ liabilities,

Be able to communicate with a diverse team.
Needs to be comfortable with complex pay plans.
Ability to communicate effectively with customers, managers, and peers, both written and verbally

Ability to read, communicate, and understand the English language.
Ability to meet all Company safety requirements.
