Job Description:
The Office Coordinator will act as the central hub for the administrative and organizational functions of Houston Restore Pros. They will oversee daily office activities, streamline communication processes, manage client-related documentation, and assist various departments in administrative tasks to ensure efficient operations.
Duties and Responsibilities
- Administrative Support: Oversee and streamline office operations. Handle incoming calls, mail, and manage office supplies and inventory.
- Schedule Management: Coordinate appointments, meetings, and ensure optimal utilization of resources. Maintain a comprehensive company calendar.
- Client Interaction: First point of contact for clients visiting the office. Handle client queries, feedback, and direct them to the respective departments when necessary.
- Document Management: Organize, store, and manage company documents, ensuring all client projects and jobs are correctly documented and easily retrievable.
- Interdepartmental Liaison: Act as a bridge between departments, ensuring seamless communication and coordination for company operations.
- Financial Tasks: Assist with invoicing, expense reports, and other basic financial documentation.
- Meeting Preparations: Organize, schedule, and set up meetings, ensuring all necessary equipment and materials are ready.
- Continuous Improvement: Identify opportunities for operational improvements and suggest solutions.
- Team Support: Provide administrative support to various teams and assist in special projects as needed.
Requirements
- High School Diploma or equivalent. An associate or bachelor’s degree in business administration or a related field is a plus.
- Proven experience in office coordination or administrative roles.
- Proficiency in Microsoft Office Suite and other office management software.
- Strong organizational, multitasking, and time-management skills.
- Excellent communication and interpersonal abilities.
- A keen eye for detail and problem-solving skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Bilingual Spanish / English is preferred
