Job Description

Southeastern Retina Associates is seeking a full-time clinical practice administrator for their Chattanooga POD.

GENERAL SUMMARY OF DUTIES: Supervises staff needed for day-to-day operations of clinics including front desk staff, call center, ophthalmic assistants, photographers, study coordinators and medical records staff. Ensures that subordinates are well-trained and consistently practice exceptional customer service. Ensures that liaison between patient and medical support staff is maintained. Ensures appropriate staffing at the offices. Prepares evaluations of subordinate staff, as appropriate.

SUPERVISION RECEIVED: Reports to Chief Executive Officer

ESSENTIAL FUNCTIONS:

  • In conjunction with the CEO and Human Resources, manages all facets of the Chattanooga Market to include day-to-day clinical and administrative operations, staff scheduling, recruitment, hiring, orientation, training, discipline and performance evaluations.
  • Maintains an excellent working relationship with physicians and understands their needs for best practices.
  • Develops and monitors standards of productivity for all personnel supervised and ensures compliance with established standards.
  • Ensures appropriate staffing and of clinics and monitors daily operating activity making necessary adjustments in work assignments as needed.
  • Operates the clinics within established budgets. Assists CEO in budget planning and initiates corrective action in response to significant variances.
  • Assists in the development or revision of policies and procedures.
  • Ensures that SERA policies are communicated and administered consistently.
  • Establishes, implements, and maintains training protocols for supervised staff.
  • Monitors equipment for repairs and maintenance requirements.
  • Ensures facilities are clean, safe, sanitary and conducive to the delivery of quality patient care.
  • Ensures all supplies are acquired to maintain a working clinic, maintaining appropriate par levels.
  • Assists with assigned building projects, including directing repair, construction, and renovation of current facilities.
  • Oversees building security and safety. Assists with development and implementation of disaster plan.
  • Performs special projects and other administrative tasks as directed by the CEO.
  • Is responsible for the maintenance and security of all medical records both on and off-site.
  • Maintains working knowledge of all positions; able to fill in those roles as needed
  • Attends company and staff meetings as required. Conducts staff meetings when directed to do so.
  • Maintains strictest confidentiality; adheres to all HIPAA guidelines/regulations promotes the mission statement of the organization.
  • Performs other duties as required

KNOWLEDGE/SKILLS/ABILITIES:

  • Knowledge of supervisory skills sufficient to effectively organize, direct, control, plan and staff areas of responsibility.
  • Ability to process inquiries from patients and the public and respond with professionalism and efficiency.
  • Ability to recognize, evaluate, problem-solve and correct inefficiencies.
  • Ability to conceptualize workflow, develop plans and implement appropriate actions.
  • Ability to maintain confidentiality of sensitive information.
  • Knowledge of billing office procedures.
  • Ability to communicate clearly and concisely.
  • Knowledge of grammar, spelling and punctuation.
  • Skilled in Microsoft Office products, particularly Outlook, Excel, and Word
  • Ability to read, understand, and follow oral and written instruction
  • Ability to establish and maintain effective working relationships with doctors, patients, employees and the public.
  • Ability to manage, prioritize, and respond to a high volume of daily communication.
  • Ability to organize, conduct, and summarize staff meetings.

EDUCATION/EXPERIENCE:

High school graduate or equivalent, Associate degree preferred. Minimum 2 years supervisory experience and 5 years experience in a medical environment required. Familiarity with medical terminology is preferred.

TYPICAL PHYSICAL DEMANDS: Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lifting files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, operates a calculator, telephone, copier and other office equipment as necessary. It is necessary to view and type on computer screens for long periods.
