POSITION SUMMARY
Aunt Martha’s is a health and wellness not-for-profit organization serving over 105,000 children and adults throughout over 600 communities in Illinois. Through our Integrated Care Model, we provide primary and family health care, including behavioral health, pediatrics, family planning, parent support, and women’s health. We are also a licensed child welfare provider with foster care and intact family services. Our Integrated Care Center serves to stabilize DCFS involved youth and prepare them for long term placement.
The Human Resources Coordinator is responsible for providing Human Resource administrative support to include personnel records management.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Reviews and distributes HR mail and critical documents.
- Ensure all personnel file documentation is filed in an accurate and timely manner.
- Maintain personnel records and file room management (i.e., filing, purging and maintaining records according to compliance records retention schedule)
- Greets internal/external customers and provide directions for general inquires.
- Responds to HR general inquiries and manages HR email-inbox.
- Ensure all new hire and employee change documentation is received in a timely manner and filed in personnel files.
- Compile new-hire packets and personnel files upon requests.
- Maintain New Hire Orientation schedule.
- Maintain tracking on system reports and audit checklists for required personnel records upon request (i.e., daily, weekly, monthly, quarterly, and etc.)
- Administer and coordinate required assessment tests.
- Generate, track and communicate New Hire Orientation reports.
- Create ID Badges.
- Track and process department invoices for payment.
- Assist HR staff with photocopying and special projects.
- Maintain HR inventory to include ordering supplies, routine copier repair, and voucher requests.
- Ensure all required documentation is sent to the appropriate funders and/or departments.
- Complete all Core Curriculum training(s) required for this position.
- Perform all other duties and projects as assigned.
Qualifications
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.
Required Education
- HS Diploma/GED required.
- Associate’s degree in secretarial science, communication, business or related field is preferred
Required Experience
- A minimum of 2-3 years of a combination of clerical, data entry and administrative office assistant experience is required.
- Intermediate level of proficiency with MS Office Suite (i.e., Word, Excel, PowerPoint, Outlook.
- File management and database management experience is required.
- Typing 40-50 words per minute is required.
Preferred Qualifications
- Healthcare and/or social service funded organization is preferred.
- ADP HRIS experience is preferred.
