Position Summary

We are seeking an experienced and dedicated administrative assistant to provide comprehensive support. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple tasks with efficiency. As an administrative assistant, you will play a crucial role in ensuring the smooth operation by assisting with a variety of administrative tasks and responsibilities.

Primary Responsibilities

  • Assist with preparation of agendas, materials, and notes for meetings.
  • Organize and prioritize work to ensure projects are completed in a timely and efficient manner.
  • Handle faxing, facilitate incoming and outgoing mail, and draft letters.
  • Take notes during executive meetings.
  • Arrange meetings, travel arrangements, and maintain an updated calendar.
  • Coordinate with clinic and surgical schedulers to ensure schedule is properly planned for.
  • Answer telephones, provide information to callers, take messages, or transfer calls to appropriate individuals.
  • Utilize computers for various applications, such as database management or word processing.
  • Operate office equipment, including fax machines, copiers, or phone systems.
  • Coordinate with outside entities for consulting work, expert review, and independent medical evaluations.
  • Keep track of billable hours and invoice for services provided.
  • Maintain and update Curriculum Vitae for physicians.
  • Maintain licensing requirements, society memberships, and continuous medical education credits for physicians.
  • Maintain scheduling and event calendars.
  • Coordinate various professional and personal engagement activities for physicians and update calendars accordingly.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Perform all other duties as assigned.

Qualifications

  • Two years of proven experience as an executive assistant or similar administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in computer applications, including Microsoft Office Suite.
  • Ability to handle confidential information with discretion.
  • Flexibility and adaptability to changing priorities.
  • Bachelor's degree preferred, but not required.
