Salary: $78,628 - $107,964

Purpose

The CEQ Associate is responsible for providing a wide range of support to the Center for Education Quality (CEQ), to include program, event management (both virtual and in-person), administrative duties, data management, accounting functions, team, and colleague support. This full-time position is temporary for one (1) year.

Responsibilities:

  • Provide complex conference, event, and meeting planning support, including pre-conference and post-conference tasks, as well as onsite and virtual activities.
  • Coordinate meeting arrangements, anticipate needs, collaboratively shape program and event logistics by identifying and finalizing event venues, catering, problem-solving any issues that may arise, and communicating expectations with vendors.
  • Organize and prioritize multiple assignments; demonstrate flexibility; identify needs for additional support.
  • Build and maintain collaborative relationships to work effectively with others in a team setting.
  • Provide member, committee, and colleague support related to the WEA Clock Hour (continuing education) program in compliance with state clock hour regulations and the WEA Professional Development Network.
  • Collaborate on several multi-layered projects with abstract parameters, including working with and supporting highly diverse members, trainers, training teams, and colleagues.
  • Support and maintain relations with outside agencies and organizations for ongoing communications, projects, trainings, and/or events.
  • Compose both internal and member communications (email correspondence, virtual messaging, e-newsletters, promotional flyers, and web content).
  • Prepare, review, coordinate, and distribute or submit documents and reports.
  • Proofread a variety of written materials for typographical, grammatical, and stylistic errors.
  • Process, track, and submit detailed accounting documents as required for National Board for Professional Teaching Standards (NBPTS) and United States Department of Education (USDOE) grants.
  • Assist with setting up, cleaning up, supporting, and tracking virtual and in-person meetings and trainings.
  • Analyze and prepare time-sensitive invoices, bills, and vouchers for payment and process refunds through the WEA Accounting process.
  • Perform clerical accounting duties including, but not limited to, reconciliation, tracking and projecting expenditures, and reproducing accounting reports.
  • Produce correspondence, articles, materials, calendars, and other documents using various electronic methods.
  • Assist with meeting program-related application requirements, benchmarks, and timelines associated with grants; financially track agency, non-profit, and foundation grants.
  • Locate, retrieve, cross-reference, and assess reliability of a wide variety of information both internally and externally, including reconciliation of participant and event lists originating from various sources.
  • Work with relational databases.
  • Other duties as assigned.

 

Minimum Qualifications:

  • High school graduate or GED equivalent.
  • Demonstrated success as an administrative professional.
  • Demonstrated success in collaborating with other teams for virtual and in-person conferences and trainings supporting a diverse group of participants.
  • Accounting experience including bookkeeping, accounting data systems, auditing procedures, and financial grant reporting.
  • Experience with various online tools, data programs, registration systems and Microsoft Office Suite.
  • Experience with relational database software.
  • Experience with current web content management systems; ability to learn new platforms.
  • Strong project management and time management skills.
  • Strong proofreading, spelling, and grammar skills.
  • Strong interpersonal and communication skills.
  • Self-starter with demonstrated initiative and flexibility with changing priorities.
  • Well-organized; detail-oriented; ability to effectively prioritize work.
  • Ability to successfully work with, learn from, communicate with, and support diverse individuals internally and externally.
  • Ability to understand the relevance and importance of diversity, equity, and inclusion internally and in public education.
  • Ability to keep information confidential.
  • Ability to work evenings and weekends as needed.
  • Ability to travel within Washington state occasionally and overnight if required.
  • Move objects up to forty (40) pounds on a consistent basis.
  • Must support and help advance the WEA mission, goals, core values, and priorities.


Preferred Qualifications:

  • Demonstrated knowledge of National Board Certification Teacher (NBCT) and National Board for Professional Teaching Standards (NBPTS) programs.
  • Demonstrated knowledge of Generally Accepted Accounting Principles (GAAP).
  • Knowledge of and experience with the Margins2Center grant.
  • General Ledger (GL) accounting experience.
  • Experience with financial grant reporting for national and federal organizations.
  • Experience with customized database software.
  • Experience in public education, unions, or related employment.

Supervision  

The successful incumbent will function as a member of the Center for Education Quality and will report to the Director of the Center for Education Quality.
