The Position:

The Executive Assistant is responsible for providing a wide range of high-level administrative support to the Executive Team. The Executive Assistant will serve as the first line of contact for the departments. Responsibilities include:

  • Responsible for the coordination and scheduling of internal meetings; gathers and prepares necessary agendas, materials, equipment or other logistics.
  • Assures the planning and coordination of the executive's calendar of events; schedules appointments and prepares detailed itineraries, complete with travel accommodations, etc.
  • Assures the maintenance of travel and expense account and records, including form preparation and figure reconciliation.
  • Displays a strong knowledge of desktop tools such as the Microsoft Suite of Office products and electronic mail systems.
  • Screens telephone calls, visitors, and letters; answers routine questions and furnishes information.
  • Proper maintenance of all department filing systems including both hard and soft types of files.
  • Prepare Excel, Word and PowerPoint documents as required.
  • Possess a high level of confidentiality, honesty, and integrity in all matters.

Schedule:

Monday - Friday 8am-5pm

Must be able to work occasional weekends and overtime when necessary.

Requirements:


  • High School Diploma, bachelor’s degree preferred
  • Strong work tenure: experience supporting C-Level Executives
  • 5 years of experience in a corporate office setting/environment
  • Proficient in Microsoft Suite (Excel, Word, PowerPoint, Outlook) a must
  • Professionalism, Problem Solving, Supply Management, and Inventory Control
  • Strong communication skills, both oral and written
  • Ability to work well with others, under pressure or tight timeline
  • Regular, consistent and punctual attendance. Must be able to work occasional weekends and overtime if necessary.
