Office Manager Opportunity at Estrin-Hinds

Estrin-Hinds, a leader in the construction industry, is seeking a highly skilled Office Manager to enhance our team's efficiency and productivity. We are looking for a proactive and dedicated professional who excels in managing a wide range of administrative and executive support tasks with minimal supervision. This role demands a high level of quality, focus, attention to detail, and consistent communication.

As the Office Manager, you will be pivotal in supporting the owner and our team. This role requires exceptional organizational skills, as you will be handling varied tasks and meeting multiple deadlines.

Your Responsibilities:

  • Accounting/Bookkeeping responsibilities including:
  • Bank statement and credit card reconciliation & receipts
  • AP and AR (must be familiar with job costing)
  • Set up and manage project budgets and cost codes in ProContractor
  • Construction based administrative duties:
  • Management of subcontractor ledger in Excel
  • Owner and subcontractor contract preparation and management
  • Certificate of Insurance management
  • Change order creation and management
  • Corporate compliance/insurance including General Liability, Worker's Compensation, Inland Marine, and Commercial Property
  • General office duties including creating and/or maintaining organized filing systems, ordering and maintaining all office related supplies, organizing company events/meetings including ordering food or drinks if applicable, answering phones (when needed), sorting and distributing mail, and handling any other responsibilities as needed

Required Skills:

  • Bachelor's degree in a relevant field or equivalent work experience
  • Minimum of 3 years of experience in an administrative and bookkeeping/accounting role within the construction industry. Experience with a general contracting company is highly preferred, though candidates with subcontractor experience are also encouraged to apply.
  • Proficiency in ProContractor Project Accounting Software or comparable construction industry accounting software such as Sage
  • Strong proficiency in Microsoft Office applications
  • Excellent verbal and written communication skills, including phone etiquette
  • Ability to maintain focus and composure in a fast-paced environment

Preferred Qualifications:

  • Superior problem-solving skills with a customer-focused orientation
  • A proactive team player who anticipates needs and provides assistance readily.
  • Spanish language skills are a plus

Qualifications:

  • Minimum of 5 years in an administrative role
  • Experience in a construction office environment is highly desirable
  • High school diploma is required; a Bachelor's degree is preferred

Compensation:

  • A competitive salary range of $65,000 - $75,000 based on experience,
