Salary Range: $60,000-$63,000

Position Summary

The Controller at YWCA Greater Lafayette plays a pivotal role in financial management, ensuring the organization's fiscal health and sustainability. This position is responsible for all aspects of financial operations, including budgeting, accounting, financial reporting, and compliance. The Controller will work closely with the executive leadership team to support strategic decision-making and contribute to the overall success of YWCA Greater Lafayette. The Controller will report to Chief Executive Officer and work extensively with other funding sources.

Responsibilities

Financial Management

  • Develop and manage the annual budget in collaboration with department heads and leadership.
  • Monitor financial performance against budget, providing regular reports and analysis to leadership.
  • Ensure compliance with generally accepted accounting principles, legal requirements, internal controls, and YWCA policies.

Accounting & Reporting

  • Manage all aspects of day-to-day bookkeeping and accounting processes including but not limited to: A/P, A/R, payroll, journal entries, and bank reconciliation in accordance with GAAP. Prepare Journal Entries for prepaid expenses, deferred revenue and payroll accounts.
  • Process and pay all invoices in a timely manner.
  • Record all organizational revenue and expenses.
  • Responsible for internal controls including procedures for front desks
  • Execute payroll activities using a third-party payroll service provider.
  • Perform annual 1099 reporting process for vendors.
  • Prepare monthly and quarterly financial reports, including standard financial reports, budget vs. actual reports and departmental financial reports.
  • Manage time tracking process for employees with hours billable to grants, utilizing online time tracking tool, and extract data to make appropriate payroll entries for financial and grant reporting.
  • Execute month-end and year- end closing procedures and postings, including IRS 990/state filings.
  • Prepare and analyze financial statements, ensuring accuracy and completeness.
  • Provide timely and accurate financial reports to the executive leadership and Board of Directors.
  • Serve as key interface with banks and under the direction of the CEO, be responsible for cash management (e.g. anticipating cash needs and transferring funds to ensure sufficient cash available at all times).
  • Other duties as assigned.

Budget & Grant Management

  • Supervise Finance Manager to ensure compliance with all aspects of grants, including budget development, reporting, and compliance.
  • Work closely with Finance Manager and Program Directors to ensure accurate tracking and reporting of grant funds
  • Support Executive Director and Program Directors in developing grant proposal budgets.

Audit & Compliance

  • Coordinate and facilitate annual audits, working closely with external auditors, CEO, and Finance Manager.
  • Ensure compliance with federal, state, and local regulations, as well as grant requirements.

Financial Planning & Analysis

  • Manage cash flow and liquidity to support ongoing operations.
  • Collaborate with leadership to develop long-term financial plans aligned with organizational goals.
  • Conduct financial analysis to support decision-making and strategic initiatives.

Grant & Contract Management

  • Work closely with program managers to ensure proper financial management of grants and contracts.
  • Prepare financial reports for grantors and funding partners.

Team Collaboration

  • Lead and mentor finance staff, fostering a culture of collaboration, accountability, and professional development.
  • Collaborate with other departments to provide financial insights and support decision-making.
  • Lead by example in promoting the organization’s values and commitment to diversity, equity, and inclusion.

Qualifications

  • Bachelor’s degree in finance, accounting, or a related field. Master's degree or CPA designation is preferred; A combination of education and relevant experience may be considered.
  • Proven experience in financial leadership roles, preferably with grants and the nonprofit sector.
  • Knowledge of nonprofit accounting principles and compliance requirements.
  • Strong analytical, strategic thinking, and problem-solving skills.
  • A minimum of 3-5 years of progressively responsible experience in an accounting/bookkeeping role.
  • Proficiency in QuickBooks, including all typical accounting transactions, GL management, budgeting, and reporting.
  • Experienced and proficient in Microsoft Suite of products including Excel, Outlook, and Word.
  • Accurate, organized, analytical, and detail-oriented, with ability to work under pressure and shift priorities in response to changing needs.
  • Strong time management skills, ability to take initiative to solve problems and work with minimum supervision.
  • Proven ability to successfully manage and execute multiple priorities simultaneously.
  • Strong customer service skills with the ability to work with all levels of the organization and external stakeholders.
  • Ability to work independently and in a team environment.
  • Strong written and verbal communication skills.
  • Regular and reliable attendance.
  • Ability to exercise independent judgment and discretion when handling confidential or sensitive matters.

Physical/Mental Essential Requirements

  • Walking, standing, bending, stooping, reaching, moderate lifting and carrying (up to thirty (40) pounds).
  • Full range of body motion including manual and finger dexterity and eye-hand coordination.
  • Requires corrected vision and hearing to normal range.
  • Ability to sit at a computer workstation for extended periods of time.
  • Occasional need to stand for long periods of time.
  • Ability to focus on detail and accuracy of work product.
  • Occasional high stress may be experienced in dealing with clients, staff and volunteers.
