Job Description

AXIS is seeking a dynamic, detail orientated, outcome driven Business Operations Support Specialist to execute company-wide processes in support of the management team for office support systems, human resources back-office, financial operations, and business growth. This position will be the main coordinator for procedures related to employee recruiting, on-boarding, benefits enrollment, business systems access, timekeeping, training classes, information tracking, and problem resolution. Financial operations support includes invoice preparation, cost tracking, payroll, and accounts payable procedures. Support for growth initiatives entails web searches, market research, lead tracking, data maintenance, and knowledge management. This position will be responsible company back-office tools and data administration, including document management, and data reporting. Another area of responsibility is property control. Outmost attention on this position of trust and responsibility shall be paid to teamwork, confidentiality, information security measures, and data privacy.

Required Skills

·         Thorough understanding and knowledge of business core principles and office processes and demonstrated ability to apply that knowledge to efficient support of back office processing for a company

·         Understanding of business data entry tracking, quality, integration, and reporting efforts

·         Solid knowledge and experience on human resources and/or financial processing areas

·         Proficiency in common business support software such as Microsoft Office Suite, Email, Web Searching, Web Conferencing, etc.

·         Demonstrated ability to complete deliverable within timeframes and with efficiency

·         Able to recommend and follow policies, processes, and procedures and to deduct non-explicit requirements

·         Demonstrated leadership, initiative, and ability to work independently and in a team supporting a matrix organization

·         Demonstrated responsibility, reliability, follow-through, honesty, and ability to safeguard confidential information

·         Excellent and flawless ability to communicate orally and in writing and to understand instructions

·         Ability to work in a fast-paced environment while performing multiple tasks and adjusting to changing priorities

·         Able to perform well under pressure and to handle usual work environment issues and conflicts appropriately

Desired Skills

·         Experience with common business support software such as Tools, Financial Tools, databases, project management, drawing tools, etc.

·         Experience with specialized knowledge management, workflow management, contents repositories, and/or collaboration/portal software tools

·         Knowledge of general Government contracting processes for a company

Job Duties

·         Assist with the recruiting cycle for multiple internal positions, including posting job requirements and tracking candidates through selection, interview, and hire

·         Execute onboarding process for new hires, including benefits enrollment and systems access

·         Keep employee records up to date

·         Process and record employee’s status changes

·         Disseminate personnel policies and procedures

·         Coordinate and track employee training

·         Works with members of the management team with regards to talent acquisition, employee and labor relations, and performance management.

·         Administer and oversee employee timekeeping, timecard approval, and time reporting procedures

·         Administer employee information tracking

·         Support and track problem resolution for staff as needed

·         Prepare draft invoices for customer with timeliness and accuracy

·         Track labor, purchases, and overhead costs for reporting and control

·         Support purchasing process, license renewal, and account payables for various company areas

·         Support payroll processing payroll

·         Track and secure company property and assets

·         Provide support to corporate growth initiatives including web searches, market research, status reporting, and customer contact management

·         Conduct business lead tracking and maintain data on new business opportunities and customers

·         Support the company’s proposal preparation process

·         Administer the company knowledge management systems targeting the company’s different stakeholders

·         Administer company back-office software systems and data in support of various company functions

·         Perform document management with emphasis on information integrity and confidentiality—including personnel records, contract data, proposals, and process asset library

·         Reconcile/validate data entry to ensure data integrity and supporting routine reporting

·         Prepare reports on any area as necessary on a regular and ad-hoc basis including various corporate areas, programs, projects, and contracts

·         Maintain and enforce confidentiality, information security, and data privacy

·         Comply and assist the company on complying with all applicable laws and regulations

·         Other duties as assigned

Experience and Education Qualifications

Minimum of ten (5) years of recent experience in office support with progressively increasing responsibilities.

Minimum of a high school diploma or Associate degree in business related field.

Business systems and related skill-based trainings and certifications desirable.

Work Location

McLean, VA (Tysons Corner).
