Job Summary

The Assistant General Manager is responsible for directing all activities related to Event Services that impact the client and guest experience.

Essential Job Duties

  • Manages and develops the Full-time Box Office team, Booking Manager and Event Managers.
  • Managers and develops the Part-time Security and Parking Managers.
  • Manages all aspects of their assigned events from the advance planning stages through the end of the event; hire, train, schedule and supervise all event staff; oversee building security and interact with local public safety officials to ensure events run smoothly; coordinate communication between event staff/security and delegate assignments; be responsible for and ensure overall customer and lessee satisfaction and experience.
  • Reviews and approves paperwork produced by event managers for their upcoming shows based on detail provided by show management. Determines that the appropriate level of services required are outlined and communicated throughout the various CRVA departments as well as to our external support providers to ensure a successful event.
  • Allocates appropriate use of the provided budget determined by the demands of the departmental needs.
  • Coordinates and manages scheduling of outside vendors and in-house contractors to include Show Pros event staffing, audio-visual companies, decorators, EMT, off-duty police officers, fire inspectors, and any others who are needed to facilitate smooth and efficient events.
  • Advise Event Managers on appropriate actions when special circumstances arise during event preparation.
  • Coordinate with Event Managers to ensure all activities are executed in a timely manner.
  • Conduct site visits with Event Managers and clients prior to events to identify any areas of concern or adjust the itinerary, if needed.
  • Create detailed room diagrams per event Information to develop an understanding of event execution for event staff.
  • Create AutoCAD drawings for specific events, when necessary, to stay compliant with fire codes and regulations.
  • Act as MOD for events, as scheduled.
  • Support staff in day-to-day tasks, ensuring workflow processes are efficiently supporting the event load.
  • Complete settlements for shows assigned by the Booking Manager.
  • Work in collaboration with the Director of Customer Experience and other teams to conduct regular trainings and special events to improve upon the guest experience, guest safety, and employee engagement.
  • Review all customer survey feedback and help facilitate change based on that feedback with the appropriate departments to improve upon our guest experience and create a positive impact on the BOplex’s Net Promoter Score (NPS).
  • Work closely with promoters and clients who bring events to the BOplex, ensuring relationships remain positive and create opportunities for repeat business.
  • Oversee the parking department to create parking plans and processes for events.
  • Oversee with the event security manager and Show Pros to create event security plans and processes for events.
  • Oversee with the event managers to engage, train, hire, and manage the part-time usher team.
  • Assigns BOplex events to specific Event Managers.
  • May perform other duties as required.

Scope of Responsibility

  • This job is responsible for budgetary analysis, preparation, and review.
  • This job will have periodic access to confidential data including wages and salaries, company records and/or minutes, customer quotes, product costs, and company plans, designs, and/or programs.

Supervisory Responsibility

  • Manage the Booking Manger, three event managers, and support the Box Office team.
  • Manage the Parking and Security teams
  • Responsible for the overall direction, coordination, and outcome of event execution for these departments.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

Knowledge and Skill Requirements

  • Ability to work in high pressure, time sensitive situations typical of the event industry.
  • Ability to work a flexible schedule which may consist of nights, weekends, and holidays

Education and Experience

  • Bachelor’s Degree (B. A.) or equivalent from four-year college or technical school; and five to six years related experience and/or training; or equivalent combination of education and experience. To perform this job successfully, an individual should have knowledge of Word Processing software; Spreadsheet software; and Two-way radio.

Physical Demands

  • The employee must regularly lift and /or move up to 10 pounds.
  • Specific vision abilities required by this job include close vision.
  • While performing the duties of this job, the employee is regularly required to sit; use hands to handle or feel and talk or hear.
  • The employee is frequently required to stand and walk.

Work Environment

  • The noise level in the work environment is usually moderate.
