Overall Position Purpose

The Student and Resident Program Associate serves as a pivotal role within ACOI, dedicated to fostering academic excellence and professional advancement for students, residents, and fellows. This multifaceted role requires a proactive approach in nurturing educational programs and promoting increased engagement in alignment with the Strategic Plan set by the Board of Directors. It entails a commitment to not only operational tasks but also the strategic enhancement of educational trajectories, thus solidifying the ACOI’s stance as an invaluable resource within the osteopathic community. The Student and Resident Program Associate will unequivocally advocate and fortify the ACOI culture of engagement, inclusion, and belonging.

 

Essential Functions

  • Liaise with students, residents, fellows, and training programs, serving as a staff contact and promoting the ACOI activities.
  • Assist in the processing of member applications for students, residents, and fellows.
  • Provide assistance in the development and organization and operation of key programs, including the Visiting Professor and Mentor Programs, ensuring dynamic and beneficial engagements with colleges of osteopathic medicine and osteopathic student organizations.
  • Provide support to the Student Osteopathic Leadership in Internal Medicine Dialogue (SOLID) program, including session coordination, presenter arrangement, and collaboration with other ACOI departments for enhanced participation.
  • Boost student, resident, and fellow involvement in the annual meeting, supporting internal medicine clubs.
  • Provide support to the ACOI In-Service Exam, including registration, program oversight, liaison with the National Board of Osteopathic Medical Examiners (NBOME), and handling inquiries.
  • Support various student, resident, and fellow committees and councils, aiming to heighten their engagement.
  • Work with subspecialty organizations and others to advance efforts to highlight value of osteopathic internal medicine training.
  • Provide support to collaborative efforts with the American Osteopathic Board of Internal Medicine (AOBIM) on the Early Entry Certification Pathway and other certification issues.
  • Function as an intermediary among the ACOI, Colleges of Osteopathic Medicine, training programs, and trainees.
  • Work with the Student and Resident Program Manager to maintain and update essential data involving residents, program coordinators, medical schools, and Deans.
  • Support the Annual Poster Contests, ensuring they reflect ACOI's commitment to academic excellence.
  • Perform administrative tasks, including phone support and other executive assistant duties, as required.
  • Assist with other duties that support the organization's mission.

 

Required Education/Experience

  • Minimum 1 year of progressively professional experience working in operational, customer service, adult learning, education, project management, or closely related areas.
  • Bachelor’s degree in Education, Administration, Public Health or a related field is preferred but not required. A combination of relevant work experience and education will be considered.

 

Required Qualifications

  • Skilled at building and maintaining relationships with students, residents, fellows, and educational institutions.
  • High level of accuracy in handling member data and processing applications.
  • Proven ability to promote programs and initiatives to encourage participation and engagement.
  • Experience in managing educational or professional development programs, including planning, execution, and evaluation.
  • Ability to work effectively in collaboration with diverse internal and external partners.
  • Capable of conducting surveys and interpreting data from training programs to inform decision-making.
  • Excellent written and verbal communication skills to effectively convey information to diverse teams and stakeholders.
  • Commitment to ongoing professional development and staying updated with the latest best practices and industry trends.
  • Tech savvy and proficiency in utilizing essential software, including communication, word processing, spreadsheets, and databases, to efficiently perform and manage tasks.
  • Ability to uphold the values with honesty and professionalism in all interactions.
  • Willingness to adapt to changing priorities and learn new skills or systems as required, as well as take on responsibilities and challenges, proactively addressing tasks without always being directed.
  • Ability to analyze situations, think critically, and offer solutions to problems.
  • Demonstrated ability to handle multiple deadlines and ensure timely submission of all required materials.
  • Willingness to travel as needed, attendance to the ACOI Annual meeting is mandatory for ACOI employees.

 

Supervisory Environment

This position operates without direct staff supervision responsibilities but collaborates closely with cross-functional teams to achieve organizational objectives.

 

Work Environment

This fully remote position operates from an approved office environment. The role mainly involves desk-based tasks, but there will be instances of travel and commitments during evenings and weekends, notably for the annual meeting and other company events. Participation and attendance to the ACOI annual meeting is required for all ACOI employees. The role has minimal physical demands, such as occasionally lifting or moving equipment. This position is not designated as emergency staff and won't typically be required for immediate operational support.
