The Administrative Assistant for Community Engagement is essential in providing the highest level of administrative and customer support to the Community Engagement team.

Qualifications:

  • 2+ years of experience providing donor relations and/or administrative support highly desired
  • Experience providing customer service in an office setting highly desired
  • Previous experience with non-profit fundraising, social or human service organization preferred
  • Experience work with a social or human service agency is a preferred
  • Current unrestricted CA Driver’s License and proof of auto insurance
  • Occasional Sunday and/or overtime required as needed for agency events
  • Must be available for occasional limited local travel (within L.A. County).
  • Strong interpersonal skills, including the ability to work with diverse constituencies
  • Effective organizational skills and the capacity to simultaneously handle multiple activities with changing priorities
  • Detailed Oriented - Pays attention to multiple details and multiple tasks while minimizing errors
  • Ability to work independently and follow through on assignments with or without supervision
  • Ability to handle sensitive and confidential information professionally and with discretion
  • Experience working with volunteers is a plus
  • Proficiency in common word processing, desktop publishing, and database software applications as well as the ability to learn new computer systems
  • Prior experience working with Raiser’s Edge is strongly desired
  • Must be culturally sensitive and able to work with a multicultural client/customer population; ability to work in a non-judgmental manner and foster positive growth/outcomes; able to work as part of a team and maintain professional boundaries.
  • Must pass a criminal background check (Live Scan fingerprinting) prior to beginning employment.

Responsibilities/Essential Functions:

  • Responsible for providing administrative support for Community Engagement team (Resource Development, Communications, Volunteer Engagement, and Public Policy Departments) includes but is not limited to data entry, expense reports processing, assisting with fundraising campaigns, donor correspondence, scheduling meetings, tours, briefings and preparing meeting packets, and other general administrative tasks
  • Manage Community Engagement master calendar
  • Provide support for Community Engagement team relating to event attendance tracking, follow up calls, direct mailings, and staffing events, including but not limited to JFS Gala, donor tours and events, volunteer events, public policy events
  • Assist with coordinating cultivation/recognition activities including assisting with meeting logistics and providing appropriate materials
  • In partnership with data team, oversee the production, signing, and mailing of b-day cards, thanksgiving card, holiday cards
  • Print labels for all in-house mailings
  • Manage process of getting letters signed, stuffed, and into the mail
  • Manage customer service for donors, prospects and community members with daily contact and correspondence: Primary contact for all incoming inquiries to Resource Development and Volunteer Engagement. Ensure inquisitors receive accurate support and timely follow-up.
  • Other duties as assigned

This position reports to: Senior Director of Resource Development
