Position Summary:

The Dental Practice Coordinator (DPC) is responsible for ensuring the delivery of safe, effective, and culturally appropriate care and services for dental patients at designated sites through effective non-clinical practice management, under the direction of the Dental Director. This includes administrative duties, project management, data analysis and reporting, in addition to provision, training and supervision of front-end staff in revenue cycle management, encounter management, insurance coordination, treatment / payment planning, and scheduling. The DPC will work collaboratively with dental, operations, finance teams, and billers, as well as internal and external collaborators on duties delineated below. The DPC will ensure excellent, timely customer service to all patients and staff. The coordinator will develop and update departmental standard operating procedures within their scope. They will ensure excellent service, ethical practice, and integrity through their example and administration of policies, protocols, and workflows.

Program Specific Essential Duties and Responsibilities:

· In this role, the coordinator performs, trains and supervises activities within the scope of the DPC. Participates in the recruitment and hiring of qualified staff of Dental PSRs, clerks, scribes, and non clinical staff and interns. · Ensures culturally and linguistically competent staff meet the needs of FHCW’s patient population and dental clinical staff. · Oversees the orientation, training, and development of staff in scheduling, insurance processes, collections, health record and practice management software, office technology, forms, and effective communication with customers. Collaborates with the Dental Clinical Coordinator, the Dental Director, providers, and the operations team in schedule management. Supervises assigned team members in both performance and attendance, and engages with clinical team members on shared areas of concern. Coaches and develops leadership not only with the front desk team but also with the clinical team.· Ensures timely and meaningful performance appraisals of reports. Plans for adequate staffing of schedulers and staff performing other essential duties across the operation and remote hours. Controls overtime with department head.

Ensures access to existing patients for urgent and comp care needs. Works with Clinical Coordinator on facilitated access schedules, school-based schedules, and community outreach initiatives. Liaisons with insurance companies and vendors, interpreters, enablers, dental laboratories and technology partners.. directed. .Conducts huddles to provide effective communication across teams and collaborating departments,· Educates, trains and monitors the Dental Team along with the Dental Director on insurance benefits, coding, workflows, prior approvals, eligibility for insurance and verification, use of dental insurance portals, resource management, cash management, invoice management, rooming management in patient care, and opening and blocking schedules. Works with providers on creating effective schedules with regard to volume, variety, panel size, scope, capacity and access. Provides staff with current and updated operational procedures or changes as needed. Meets with providers and external vendors to ensure operational efficiencies. Provides grant support · Formulates plans and goals that seek to accomplish the FHCW mission and the goal of seeing patients in an effective, timely, and safe fashion. · Provides staff with current and updated operational procedures or changes as needed. · Addresses patient concerns immediately and deescalates as necessary. Manages in-dental call center, voice mail, confirmation activities and miscellaneous technology. Works with Dental Director, the Health Records Team, and Referrals Team on dental records releases and imaging releases to patients, institutions and referral end-users. Contributes to, completes, and coordinates additional activities essential to daily operations, fiscal sustainability, and customer satisfaction. · Establishes and maintains effective relationships with other departments to ensure multidisciplinary approach to patient services, patient care, and patient satisfaction. Makes essential contributions to metrics management, quality projects, surveillance, compliance, reporting as directed by the Dental Director and Center Leadership.

Qualifications and Education Requirements:

One of the following combinations of education and employment experience must be met in order to be considered for the position:

Education And Experience

Bachelor’s degree and 2-5 years of supervisory experience

coursework in project management, billing and 1-3 years project management

Five to seven years’ transferable experience in ambulatory care setting required. In depth knowledge of dental insurances, dental billing practices, co-pay collection, and dental scheduling practices. Demonstrated experience with dental office administration and training of front-end staff. Strong written and verbal communication skills, excellent computer skills (Microsoft Word, Excel, and Outlook, EPM), open to facilitating the use of AI and other technologies in FHCW’s Dental Practice Management.
