The full time, Office Manager will be responsible for overseeing and elevating day-to-day staff and facility performance of the San Francisco office in concert with the Medical Director and Practice Manager.
You will be responsible for day-to-day operation, staffing and patient customer service. As a the office manager, you should demonstrate excellent organizational skills and the ability to perform well in stressful situations. Our position requires knowledge of insurance and healthcare systems operations.
Ultimately, you should coach staff and hold them to accountability to ensure steady workflows, optimal patient experiences, excellent time management, and strong financial oversight.
Responsibilities
- Monitor financial transactions, posting of payments, and loyalty program redemption.
- Oversee ordering and inventory levels of retail, medical and office supplies with key team members
- Perform and publish staff shift scheduling, monitor and alter daily staffing needs, subject to patient flow.
- Develop, implement, and improve office policies/ procedures to standardize systems and refine practice functions in collaboration with the Practice Manager and Medical Director
- Supervise office staff, including front office coordinators, and clinical support staff and their time management.
- Maintain Human Resource records.
- Guide the front desk on patient scheduling practices, schedule control and comprehensive patient data collection.
- Collaborate with leadership on marketing strategies, oversee execution with team members and outside marketing resources to achieve branding promotion, online presence, and new patient conversion goals.
- Assist Practice Manager in project management for team duties, follow through reports, and completion timelines.
- Provide product and service information for patients, educate staff on the same, encouraging sales goals
- Ensure compliance with current healthcare regulations, medical laws and high ethical standards
- Address escalated patient issues as needed
Required Qualification (Knowledge, Skills & Abilities)
- Bachelor’s degree in business, healthcare, science or a related field
- Dermatology experience preferred
- 2+ years of operational and business experience
- 2+ years of people-leadership experience
- Healthcare industry experienced required, familiarity or knowledge of healthcare preferred (management experience from other site industries will be considered)
- Ability to advise and coach medical staff
- Demonstrated outstanding communications skills (verbal, written and presentation skills)
