***Seattle CityClub is a flexible workplace. This role will have some in-office work required in downtown Seattle to meet the needs of the organization; the person in this role will also be able to work remotely as responsibilities allow.***

About the Organization:

Seattle CityClub was founded 40 years ago by eight women who envisioned an organization that served as a catalyst for strong, inclusive civic engagement and discourse. Our mission is to inform, connect and engage people around civic issues to help strengthen our region. One of our top priorities is to help address polarization through our "dialogue across differences" strategic priority. Seattle CityClub does not support or advocate for any particular party, position or agenda.

Our programs are open to everyone and help address some of the most important issues facing our community today. Through coalition-building and collaboration, we help bridge toward solutions across Washington and reach over 1 million people through our in-person and online programs. People from elected officials to people seeking elected offices to community leaders serve as our program speakers.

We live in a time of growing need for a more engaged public that is connected to one another and its community leaders through civil discourse. Seattle CityClub is building on its 40-year legacy and current organizational structure, programming and strategic plan to focus on the horizon. Moving forward from the impact of the pandemic, Seattle CityClub Board and Staff have chosen to focus on two flagship programs in 2022: Civic Cocktail and the WA State Debate Coalition.

Position Summary

Seattle CityClub is looking for a collaborative Development Coordinator who enjoys multitasking, working in a fast-paced environment, and consistently delivers high quality work products to join its team!

The Development Coordinator will provide support and coordination for CityClub's individual and institutional giving, including cultivation and stewardship of individual donors, and corporate and foundation partners. The Coordinator will assist with planning and executing annual giving activities and fundraising events, grant applications and reporting, and sponsorship fulfilment and reporting. They will maintain detailed and accurate records and provide timely reporting on progress against development goals.

Critical Job Functions

Strategic Planning + Tracking
  • Work with Development Director to implement and track tactical campaigns to support the success of Seattle CityClub's annual fundraising plan, which includes grants management, donor acquisition and retention, and corporate partner relations.
  • Maintain detailed and timely records of all fundraising activity.
  • Manage all donor data with utmost attention to accuracy and confidentiality.
  • Act as Fund Development Committee liaison; schedule meetings, prepare materials, and more.
  • Maintain organizational files and documentation within SharePoint.

Donor Cultivation + Stewardship
  • Prepare and execute direct fundraising campaigns for CityClub, including creation of solicitation materials, donor list management, gift tracking and acknowledgment, and analysis of campaign performance.
  • Prepare materials for prospective donor and funder meetings and coordinate follow-up.
  • Develop a stewardship plan for individual donors, including a weekly/monthly list of stewardship calls for the Executive Director, Development Director, and key volunteers.
  • Update thank you letter templates annually, or as needed.

Institutional Partnerships
  • Work with Development Director to implement annual plan for acquisition and renewal of CityClub's institutional partners.
  • Conduct research to identify and qualify prospective partners.
  • Assist with sponsorship proposals and grant applications, implementation, and reporting. Create invoices, track payments, follow-up to collect pledges as necessary, and provide timely receipts.
  • Track and analyze campaign progress and in coordination with Development Directors, use a variety of methods (email, phone, mail) to contact prospective, current, and lapsed partners.

Events + Communications
  • Provide key fundraising support for all CityClub events. Support sponsor fulfillment, targeted invitations, table sales, seating maps, gift processing and acknowledgment, and other duties as needed.
  • Coordinate donor and sponsor recognition in event marketing materials, invitations and other program elements.
  • In consultation with the Development Director, develop content for newsletters, social media, and other communications to cultivate and steward donors.
  • Design and implement strategic and creative touchpoints with individual and institutional donors, and other participants to deepen our supporters' engagement with CityClub programs and mission.
  • Help recruit participants for CityClub events from our institutional partners, individual donors, engaged volunteers, and other program participants.
  • Additional duties as needed.

Skills and Qualifications
  • 2+ years of experience in a professional office setting.
  • High attention to detail with strong project management, administrative, and organizational skills.
  • Ability to take initiative and be creatively resourceful.
  • Excellent oral and written communication skills and sensitivity and acumen in cultivating and stewarding relationships.
  • Ability to work independently with excellent judgement, efficient execution, and adaptability to change.
  • Familiarity with donor management software.
  • Advanced proficiency with Microsoft Word and Excel (including mail merge and creating pivot tables).
  • Experience with fundraising, development, and/or donor relations is preferred.
  • Proficiency with Salesforce and Microsoft products is preferred.

The Chamber is committed to internal and market equity. The salary range for this position is $19.16 - $23.00 hourly. Salary is determined based on internal and market equity, internal and market data/salary ranges, and the applicant's job-related knowledge, skills, and experience. We are likely to hire at the beginning to midpoint of the salary range to allow future salary growth based on an employee's performance, professional development, and increases in responsibilities and duties.
