Job Description

Summary

The Sales Assistant performs a variety of clerical and administrative activities to support our Inside Sales staff. The Sales Assistant is responsible for ensuring the smooth flow of information and follow up for existing and prospective customers.

Duties and Responsibilities

  • Assist sales team in preparation of quotations including quotation letters, pricing, delivery and assembly of documents required for quotation submission.
  • Interfaces with customers and vendors by phone, email and fax to address customer concerns and questions. Involves sales as appropriate to address customer issues.
  • Ensure timely delivery of product documentation.
  • Ensure all documentation required by sales is submitted in a timely manner using established procedures.
  • Enter sales orders, purchase orders, production orders and material return authorizations.
  • Double check/review orders entered against customer’s purchase order to ensure correctness.
  • Email or fax order acknowledgements to customer.
  • Copying, filing, typing and general administration activities.
  • Expedite orders with vendors to ensure timely delivery of required material for orders.
  • Responsible for providing suggestions to improve work process, including reduction in non-conformance, increased efficiency, profitability and customer satisfaction.
  • Maintain and update production schedule.
  • Maintain and update serial number tracking of Bettis actuators.
  • Fill out Bettis Modification Reports – copy goes into the order file, AIV copy and copy sent to Bettis at the end of each month.
  • Assist in setting up lunch and learns for the group for new products.
  • Assist in the routing of phone, emailed or faxed inquiries to the proper inside salesperson.
  • Set up and maintain files that pertain to the Automation Group.
  • Assist in the setting up the service on office equipment.
  • Order supplies.
  • Perform related duties as required.
  • File assembly test reports with sales orders after logging serial numbers.

Knowledge, Skills and Abilities

  • Excellent telephone personality skills.
  • Desire and willingness to develop strong product knowledge as well as customer knowledge.
  • Knowledge of phones and computers, use and operation of standard office equipment.
  • Written and verbal communication skills.
  • Good organizational and excellent time management skills.
  • Ability to develop rapport and trust with customers, vendors and co-workers.
  • Competent in the use of email and internet.
  • Is honest, trustworthy and acts in line with those values; respectful of co-workers and demonstrates a willingness to help others to succeed.
  • Demonstrates an urgency to meet both internal and external customer’s expectations. Actively seeks information to understand customer’s circumstances, problems, expectations and then follows through ensuring expectations are met; talks and acts professionally with customers, vendors and co-workers.

Education and Qualifications

  • High school Diploma or GED
  • Marketing related experience is an advantage.
  • Relevant training in inside sales support.
