Job Description:

We seek a highly motivated and dedicated individual to join an innovative medical practice specializing in women’s health, cosmetic surgery, and anti-aging medicine. If you are an energetic team player who is reliable and motivated to build a business, we want to work with you! Candidates with customer service, marketing and sales experience are highly encouraged to apply.

This individual will have a positive attitude, strong work ethic, and be ready to work in a fast paced environment. The right candidate must maintain a professional appearance and demeanor at all times and have great people skills, with excellent knowledge of the medical and spa industry.

We are a busy medical aesthetic practice in Honolulu focusing on women’s health and rejuvenation. We offer in-office medical treatments as well as cosmetic laser treatments, bringing a full array of services to our practice. Our laser services include non-invasive body contouring, skin resurfacing and rejuvenation, laser hair reduction, and feminine rejuvenation.

Responsibilities:

  • Welcome patients and visitors by greeting patients and visitors, in person or on the telephone; answering or referring inquiries.
  • Maintain a high level of patient care; offer friendly, prompt, and courteous service both in-person and over the phone.
  • Optimize patients' satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone, appropriately.
  • Answers multiple phone calls, take messages, and multi-task.
  • Organize and maintain multiple schedules.
  • Perform patient recalls, including annuals, follow-ups, and aesthetics appointments.
  • Keep patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comfort patients by anticipating patients' anxieties; answering patients' questions.
  • Maintain the reception area and ensure that work areas are clean and set according to procedures.
  • Ensure availability of treatment information by filing and retrieving patient records, including faxes and request for information.
  • Can provide some education to patients on services and products offered in clinic.
  • Maintain patient accounts by obtaining, recording, and updating personal, insurance, and financial information.
  • Obtain revenue by recording and updating financial information; recording and collecting patient charges.
  • Maintain operations by following policies and procedures; reporting needed changes.
  • Contribute to team effort by accomplishing related results as needed; ability to work independently and as part of a team.
  • Ability to build and maintain strong customer relationships.
  • Work assigned schedule. Arrive and depart from their shift on time.
  • Complete all assigned side work and is detail oriented.
  • Attend all scheduled meetings.
  • Report any incidents or accidents to a member of the management team.
  • Protect patients' rights by maintaining confidentiality of personal and financial information.
  • Other duties as assigned.

Education/Training
Minimum:

  • High School Diploma or GED

Experience
Minimum:

  • 1-5 years experience in medical field.
  • 1-5 years experience in spa or medispa industry, a plus.

Skills/Knowledge
Minimum:

  • Excellent customer service skills and work ethic.
  • Efficient, well organized, and able to handle a variety of duties simultaneously.
  • Energetic, enthusiastic, and motivational.
  • Professional manner and appearance, discrete.
  • Developed communication skills, including telephone, verbal, and written skills.
  • Strong team player.
  • Flexibility, time management, organization.
  • Scheduling, word processing, quality focus.
  • Computer proficient
  • Social media skills a plus
