Job Description
Salary: $16.00/hour

We are seeking a highly organized and detail-oriented individual to join our team as a temporary Administrative Assistant. The successful candidate will provide administrative support to our Controller and assist in various finance-related tasks to ensure the efficient operation of the finance department.


Responsibilities:


  1. Communication: Serve as the primary point of contact for internal and external communications for the Controller. Screen and prioritize phone calls, emails, and correspondence.
  2. Document Management: Prepare and edit documents, reports, presentations, and correspondence on behalf of the Controller. Maintain organized electronic and physical filing systems.
  3. Meeting Coordination: Manage the Controller's calendar, and coordinate meetings as necessary.  Coordinate logistics for finance department meetings, including scheduling, preparing agendas, taking minutes, and distributing meeting materials.
  4. Data Entry and Analysis: Enter financial data into spreadsheets or databases. Assist in generating reports as needed.
  5. Administrative Support: Provide general administrative support to the finance department, including photocopying, faxing, scanning, filing, and other office tasks.
  6. Special Projects: Assist the Controller in various special projects, such as research assignments, data gathering, and analysis, or process improvement initiatives.

Qualifications:

  • Proven experience as an administrative assistant or similar role, preferably in a finance or accounting environment.
  • Strong proficiency in in G-Suite and Microsoft Office suite, with solid experience using Excel.
  • Excellent organizational and time management skills with the ability to multitask and prioritize workload effectively.
  • Exceptional attention to detail and accuracy in data entry and document preparation.
  • Excellent communication skills, both written and verbal.
  • Ability to maintain confidentiality of sensitive information.
  • Positive attitude, willingness to learn, and ability to work effectively both independently and as part of a team.
