Job Summary

We are seeking an experienced Shipping and Receiving Coordinator to manage all of the inbound and outbound shipments at our main location in Chicago. You will be responsible for running a team that builds custom crates, boxes and other packages of all shapes and sizes for the product we make. Our products are shipped all over the country, so you must ensure that each item arrives at the correct location, in perfect condition, and on time. If your team is shorthanded on a given day, you may need to step in to help build and move packages. The position requires a person who is very organized and great at prioritizing, organizing and planning in order to see each job to completion. Job requirements are as follows…

 

General Responsibilities

- Learn the company’s internal workflows and follow all company procedures

- Read and understand every work order to ensure products are made correctly

- Ensure deadlines are maintained and company objectives are met every day

- Perform quality checks to ensure the highest level of product for our customers

- Assist supervisor in identifying opportunities for continuous improvement of our workflows

- Foster a safe, clean and efficient workplace

- Be prompt, courteous, hard-working, and professional at all times

Technical Responsibilities

- Attend daily production meetings with shift supervisor and the heads of other departments

- Work with supervisor to prioritize shipments for the day, adjust as needed in real time

- Coordinate with your team to spec and build crates, boxes or other packaging for each order

- Confirm that all parts and components are included in each crate or container

- Measure and weigh each shipment to gather accurate shipping quotes

- Bid and schedule shipments with UPS, FedEx and freight carriers

- Generate a packing slip or bill of lading (BOL) for each shipment

- Load and unload trucks if your team is shorthanded on a given day

- Review and approve (or contest) invoices from shipping partners

- Assist customers with any tracking inquires, and lost or damaged items

- Receive, unpack, verify, occasionally reject, and record incoming materials, products and supplies

- Communicate and coordinate with team members when their shipments are received

- Ensure all paperwork is correct and organized for administrative team members

 

You Must Be Able To:

- Remain organized and on schedule when handling several orders at one time

- Maintain a strong attention to detail with a sharp focus on product quality

- Work independently and with minimum supervision

- Work well under pressure and in a fast-paced environment

- Communicate effectively with shop and office staff, customers, and shipping partners

- React quickly and make adjustments to ensure customer receives quality products on time

- Utilize good written and verbal communication in-person and via email or telephone

- Handle confidential and other sensitive documents and information to protect our customers

- Escalate equipment or product issues to supervisors in a timely manner

- Interact effectively with a multi-functional and diverse team

- Operate a forklift and pallet-jack

- Sit or stand for prolonged periods, bend down, reach up, lift heavy objects overhead

- Work overtime and weekends when needed

- Perform other duties as assigned

- Lift or move 20 lbs. regularly and 50 lbs. occasionally

- Use a computer: typing, Microsoft Windows, Microsoft Office (Word, Excel, Outlook)

- Use a variety of tools with proficiency: forklift, pallet jack, carts, nail guns, staplers, chop saw, vertical plywood saw

 

Preferred Skill (not required)

- Certificate in Powered Industrial Vehicle Operation

- Working knowledge of FedEx “Ship Manager” and UPS “Worldship” software

- Working knowledge of CH Robinson “Navisphere 2.0” software

- Working knowledge of Cyrious “Control” software

- Bilingual fluency in Spanish and English (English required)

 

Work Shift

- Day Shift, 8:00am - 5:30pm

- Scheduled breaks for morning, lunch and afternoon

- Noise level is typically moderate to high

 

Experience

- Minimum experience of two (2) years in shipping-receiving, warehouse, or related fields

- High school diploma or equivalent (required)

- Associate’s or Bachelor’s degree (preferred)
