As we continue to expand our reach and impact, we are seeking a versatile individual to join our team as an Event Planner and Administrative Assistant.

JOB SUMMARY:

Job Description: The Event Planner will play a pivotal role in coordinating events and providing administrative support to various centers within the College of Business. This position is a unique blend of event management responsibilities and administrative duties, requiring exceptional organizational skills, attention to detail, and the ability to multitask effectively.

Key Responsibilities:

Event Planning (50%):

  1. Plan and execute a wide range of events, including workshops, conferences, seminars, and networking sessions, catering to diverse audiences within the business community.
  2. Coordinate all aspects of event logistics, including venue selection, catering, audiovisual setup, and guest accommodations.
  3. Develop and manage event budgets, ensuring cost-effectiveness and adherence to financial guidelines.
  4. Collaborate with internal stakeholders and external partners to secure sponsorships, speakers, and promotional opportunities for events.
  5. Create event marketing materials, including invitations, programs, and promotional campaigns, to drive attendance and engagement.
  6. Oversee onsite event coordination, managing registration, providing logistical support to speakers and attendees, and troubleshooting any issues that arise during events.
  7. Evaluate event success and gather feedback for continuous improvement, utilizing metrics and attendee surveys.

Administrative Support (50%):

  1. Provide comprehensive administrative support to center directors and staff, including managing calendars, scheduling meetings, and handling correspondence.
  2. Assist with travel arrangements, expense reporting, and procurement processes for center-related activities.
  3. Maintain accurate records and databases, tracking event registrations, participant information, and center-related expenditures.
  4. Prepare and distribute internal communications, newsletters, and reports to center stakeholders.
  5. Serve as a point of contact for inquiries from students, faculty, staff, and external partners, providing excellent customer service and timely responses.
  6. Assist with special projects and initiatives as assigned by center leadership, contributing to the overall success and effectiveness of the College of Business Centers.

Qualifications:

  • Bachelor's degree in Business Administration, Hospitality Management, Event Planning, or related field preferred.
  • Proven experience in event planning, preferably in an academic or corporate setting, with a strong track record of successful event execution.
  • Excellent organizational skills, with the ability to manage multiple projects simultaneously and meet tight deadlines.
  • Strong interpersonal and communication skills, with the ability to collaborate effectively with diverse stakeholders.
  • Proficiency in Microsoft Office Suite and event management software (e.g., Eventbrite, Cvent) preferred.
  • High level of professionalism, discretion, and attention to detail in handling sensitive information and interactions.
  • Flexibility to work occasional evenings and weekends as needed for events and meetings.
  • A proactive and resourceful mindset, with the ability to problem-solve independently and adapt to changing priorities in a fast-paced environment.
