JOB SUMMARY:

The Office Manager/ HR Assistant will support the HR Manager, in addition as requested the President, Controller and Operation Manager in the Front Office by performing daily administrative functions. The candidate will be required to manage multiple-tasks including but not limited to, filing of company documents, and assisting in administrative duties for the HR Manager. This position will also be responsible for accommodating all daily visitors, answering phones, communicating messages, reviewing resumes and scheduling interviews. Will be responsible for temp payroll and communications with temp agencies. Oder and maintain office supplies, and break room vendor. Candidate must possess strong communication and computer skills.

JOB RESPONSIBILITIES:
  • Answer incoming company phone calls, take messages, forward appropriately
  • Receive company visitors, escort visitors to company personnel
  • Ensure front offices are presentable
  • Act in the capacity of front office receptionist, first face of Company
  • Review resumes and employment applications as needed
  • Schedule interviews for productions positions
  • Send offer letters
  • Notify Training and Development Specialist of new hire acceptance for onboarding purposes
  • Coordinate vendor/customer visits for the General Manager and associates as requested
  • Order and maintain adequate office supplies and break room supplies for facility
  • Maintain accurate and organized company files
  • Act as one of thee on-site intermediary for employee Human Resource issues, responsible for time card corrections. Maintain a high level of Confidentiality as the candidate may be exposed to sensitive company materials
  • Back up for payroll when HR Manager is not available
  • Organize company parties and all hands meeting including ordering and pick of food if needed
  • Will possibly be tasked with food or coffee pick ups for Front Office
  • Additional responsibilities as assigned by HR Manager or Controller

JOB REQUIREMENTS:
  • 5-7 years of related experience as a Executive Assistant, Office Manager, HR administrator or an office position having performed the above or similar tasks.
  • Excellent computer (MS Office, Excel, Outlook ) and general customer service skills
  • Excellent Communications skills
  • BS Degree or Higher preferred
  • Willingness and ability to adapt to changing needs at short notice
  • Outstanding planning and organizational skills

Verification of employment eligibility will be required at the time of hire. Visa sponsorship is not available for this position. This position is subject to the International Traffic in Arms Regulations (ITAR) which requires U.S. person status.
