POSITION TITLE: Executive Assistant

DUTIES AND RESPONSIBILITIES:

  • Provide administrative and operational support for the day-to-day activities of the senior leadership team
  • Create and maintain process documentation for all administrative functions
  • Organize, schedule, and maintain special projects for the senior leadership team (ex: coordinate internal trainings and workshops)
  • Create and submit periodic contract deliverable reports
  • Coordinate, attend and create meeting minutes for senior leadership meetings
  • Assist with procurement of office supplies and equipment: make, track, and reconcile purchases
  • Provide a positive image for the SEWP program via interpersonal, phone, and email interaction with government customers, vendors and coworkers
  • Manage conference room use and coordinate training sessions
  • Work within various government ticketing systems (ex: ESD, NAMS, MOSI, ServiceNow, etc.)
  • Serve as a liaison between multiple recruiting teams on the NASA SITSS contract to open and track the status of new positions through on-boarding of new hires
  • Work with manager and recruitment to log resumes, schedule interviews and track status for SEWP managers
  • Facilitate on-boarding and off-boarding processes, paperwork, and badging
  • Maintain employee information and statistics including retention rate, EEO, resumes, certificates, etc...
  • Coordinate with recruiters and leadership to develop a strong EEO program, and assist with DEIA requirements
  • Coordinate with team leads and managers to ensure deadlines are met
  • Miscellaneous clerical activities
  • Provide support at SEWP events
  • Other duties as assigned

EXPERIENCE/SKILLS:

  • Must have excellent verbal and written communication skills and possess a desire and ability to work effectively with management, peers, etc.
  • Proficient with basic Microsoft Office programs
  • Interest and ability to learn new software applications
  • Candidate must be excited to work in a fast-paced environment and expect high-quality results
  • Strong attention to detail is required
  • Works well in multiple team activities, meetings, planning sessions

EDUCATION:

  • Bachelor's degree (preferred)
  • 7+ years of relevant experience in a professional office required
