Position:                            Office Manager

Reports to:                        Director of Administration

POSITION SUMMARY:

 The Office Manager will be responsible for coordinating and performing a diverse set of support tasks to ensure the organization and facilities operate smoothly and efficiently.  This position will successfully manage administrative and accounting functions as well as assist with company events, promote company culture, and maintain/strengthen Lineage’s Purpose, Mission, and Core Values.

RESPONSIBILITIES:

  • Direct oversight of all financial and accounting activities, including billing, cash receipts, purchasing, and collections for Lineage Connect offices
  • Provide customers internal/external with a high level of service ensuring their satisfaction
  • Manage location specific vendor processes through auditing of orders, postings, deliveries, and billings.
  • Prepare routine administrative paperwork by gathering data, compiling information, and preparing reports, as required
  • Assist as required in the preparation of revenue and expense budget for the administrative department
  • Maintain, reconcile, and administrate GL accounts including, A/R, A/P, cash accounts, etc.
  • Assist with completion of monthly bank reconciliation, financial reports, and file with required regulatory agencies (such as sales tax reporting)
  • Manage according to all company/corporate policies, procedures, and processes
  • Recruit, hire, train and manage administrative staff including conducting performance evaluations, coaching, and developing
  • Conduct regular local, group and 1:1 administrative staff meetings to effectively manage and motivate
  • Support corporate HR and employees as needed with onboarding, training, onsite employee questions, and paperwork assistance
  • Collaborate with production to ensure safety and OSHA requirements are met
  •  Responsible for the planning and implementation of all office gatherings/company meetings/travel
  • ·Ensure continuous learning by attending/participating in conferences/training’s
  • ·Manage local marketing inventory
  • ·Assist with facilities coordination (including but not limited to neat, organized, clean, all lights working, all office equipment operating to standard, building maintenance kept up to date, use monthly facilities checklist for proactive maintenance upkeep, etc.)
  • Responsible for the internal office supply process

  • Other duties as assigned

QUALIFICATIONS:

  •  Bachelor’s Degree in related field or 5+ years’ management experience preferred
  • Advanced QuickBooks experience
  • Proficient in Microsoft Office
  • Possess a valid driver’s license in the state of residence with a good DMV record
  • Knowledge of management principles and practices and implementation
  • Demonstrated ability to lead people and build effective teams
  • Excellent verbal and written communication skills
  • Ability to manage expenses and vendor management
  • Organizational and coordinating skills

SUPERVISORY RESPONSIBILITY:

  •  This position has supervisory responsibilities.

WORKING CONDITIONS AND PHYSICAL EFFORT:

  • This position is in a office/warehouse environment
  • Standard & specialized office equipment is used (such as computers, phones, copier, mail machine, folder inserter, printers, sorters, etc.) as well as tool use (screwdriver, clamps, drills, pliers, wrenches, etc.)
  • Mix of physical and sedentary position 
  • This position would require some lifting/carrying (up to 25lbs)
  • Filing, bending, standing, reaching with hands/arms, using tools, etc. as necessary
  • While performing the duties of this position, the employee is required to speak and hear

TRAVEL:

  •  This position requires occasional regional travel to remote Lineage offices as needed up to 20% of their time (if applicable)
