Job Description

Your Role

As the executive assistant to the CEO & Founder, you will provide comprehensive assistance and serve as a right-hand for both business and personal related duties as delegated by the CEO, enabling him to shift his attention to his primary duties and maximize his time and effectiveness.


Youre a highly-organized, proactive person with strong interpersonal, planning and project-management, and writing and speaking skills. Youre someone who takes deep pride in their work, self-critical, and who has high expectations and does not tolerate incompetence from anyone. You will be a trusted member of the team whose opinions and endeavors can be relied upon to help us achieve our mission.


Duties

Your primary duties will consist of the following:


  1. Research, prioritize, and follow up on active projects at an organization-wide level to help the CEO plan his activities and help ensure the plan is kept on schedule, serving as a gatekeeper and gateway role; Youll work closely and effectively with the CEO to keep him well informed of upcoming commitments and responsibilities, following up appropriately. Youll act as a "barometer," having a sense for the issues taking place in the environment and keeping him updated.
  2. Assisting with the CEOs projects by researching or writing reports.
  3. Provide sophisticated calendar and management for the CEO: prepare all calls and meetings for the day, ensuring all relevant files and details are readily available for the CEO in one place, as well as guaranteeing calls and meetings start on time and assist with jumping in and wrapping up calls when needed.
  4. Provide recruiting support (including but not limited to sourcing, screening, managing a candidates pipeline, etc), as well as HR support (handling payroll, onboarding, benefits, HR compliance).
  5. Manage and coordinate travel for both business and personal arrangements.
  6. Manage the CEOs email correspondence: filter spam and replying on his behalf whenever possible.
  7. Perform administrative duties and complete a variety of tasks including, but not limited to, sales support, invoicing, accounts payable and receivable, manage expenses, etc.
  8. Help the CEO achieve a good life-work balance by assisting with personal assistant duties such as making doctors appointments and reservations, recruiting domestic staff, manage personal expenses and purchases, etc.
  9. Handle customer and distributor sales support (sales & fulfillment, customer quotations, distributor support).
  10. Handling facilities and office management (landlord relationship, supplies, utilities, building compliance, etc)

Requirements

  • 5+ years of solid experience as an office manager, administrative or executive assistant to the CEO, VPs, Directors or Managers.
  • Experience in roles that required you to provide HR support is highly preferred
  • Experience as an office manager or similar responsibilities.
  • Experience at companies in the hardware manufacturing, electronics or consumer electronics industries is highly desirable.
