Job Description

Travel requirements: Year One: 3 months in San Juan, Puerto Rico, 3 months in different parts of the US, and 6 months in various parts of the world. Year Two: similar to Year One travel, but likely a reduced level of travel.

We're seeking a talented attorney to join us as the Traveling Chief of Staff, offering assistance and strategic insights to our Principal. Job Summary:

A successful Chief of Staff hire requires the candidate to get to know and spend significant personal time with the founding Principal of our family office. That in-person knowledge is difficult to acquire for our office because of the Principal's approximately 75% international travel. It renders any candidate unable to have enough access to the Principal to get full feedback, learn preferences, pursue initiatives with necessary input, and develop the requisite rapport to be an effective Chief of Staff for our company.

Our proposed solution is as follows: The initial position shall be Traveling Assistant to the Principal for Year One, with a promotion to Chief of Staff starting in Year Two for the successful candidate.

We recognize that this is an unusual bifurcation of the path toward a Chief of Staff role for a family office, but we believe it is the best one for long-term success in our particular role. We are particularly interested in candidates who have no obligations that would prevent them from living around the world most of the year and find satisfaction in supporting and caring for others in C-suite roles with experience as a “do everything” associate to a Big Law partner, in-house counsel to a CEO or General Counsel.

Traveling Assistant Role -- Year One: Duties will include extensive travel planning, a focus on details and follow through, and an ability to anticipate needs and be a highly organized and adaptable person to support a Principal with a chilled lifestyle who needs a true problem solver and even a caretaker to avoid and prevent any stress. A big part of the job is to make the different places he may choose to spend his time around the world "feel like home.” This role requires a proactive and resourceful individual who can seamlessly manage the Principal’s personal affairs (not business affairs), ensuring a relaxed, smooth, efficient operation and lifestyle across diverse locations.

Chief of Staff Role -- Year Two and beyond: Duties will have some overlap with Year One but will have already begun to swing toward business affairs: talent acquisition, supervisory responsibilities, vendor procurement and management for the organization, coordination of all day-to-day operations of the family office, assists the Principal with planning for the organization, communicates on behalf of the Principal and undertakes initiates, works with family office leadership, assists with policies, procedures, regulatory compliance, KPI development and achievement, special projects and the like.

By virtue of having successfully performed the Travel Assistant role in Year One, the candidate will be familiar with our organization, our people, and our Principal to be entirely ready for success in the Chief of Staff role.

Travel Assistant Responsibilities

Travel and Travel Coordination

  • Travel with or ahead of the Principal for at least 75% of the time with extended-term and short-term stays in different locations in the US and worldwide.

  • Plan and organize complex domestic and international travel itineraries, including flights, accommodations, ground transportation, and activities.

  • Anticipate and address any potential travel disruptions, ensuring a seamless experience for the Principal.

  • Assure the Principal’s travel documents and travel requirements, such as visas, are current.

  • Have your appropriate travel documents for domestic and international travel.

Staff Management:

  • Identify, hire, and coordinate chefs, housekeepers, fitness trainers, and other support personnel for each destination and familiarize, instruct, and supervise these individuals regarding the Principal’s preferences and expectations.

  • Plan, organize, and execute a readily available supply of appropriate medicines, health supplements, and other needs for the Principal in a proactive manner, including managing a schedule for the administration of these, whether with or away from the Principal

  • Anticipate, plan, and execute additional preferences and needs of the Principal, making the Principal’s life easier.

Calendar Management:

  • Coordinate and manage the Principal’s schedule, considering time zone differences and travel requirements.

  • Arrange and schedule appointments and events with precision and attention to detail.

Administrative Support:

  • Provide comprehensive administrative support, including managing emails, drafting correspondence, and handling documentation.

  • Act as a gatekeeper, screening and prioritizing communications to optimize the Principal’s time and ability to relax.

  • Be tech-savvy and proficient in Windows OS, IOS, MS Office, G-Suite, 1Password, and software incorporating digital conferencing, project management, and travel applications.

Logistics and Event Planning:

  • Coordinate logistics for meetings, events, and conferences, both in-person and virtual

  • Assist in planning and executing social and professional events, including coordinating with vendors and managing invitations.

Expense Management:

  • Track and reconcile expenses, ensuring accurate and timely reporting.

  • Manage receipts and financial documentation in compliance with the Principal’s policies.

Remote Office Setup:

  • Establish and maintain a mobile wherever the Principal may decide to spend his time, ensuring seamless connectivity and productivity.

Problem Solving:

  • Address unexpected challenges with a proactive and solution-oriented mindset.

  • Demonstrate resilience and adaptability in various environments and circumstances.

Requirements:

  • Proven experience as a Personal Assistant or Executive Assistant, preferably in travel-intensive, luxury hospitality, or caretaker roles.

  • Exceptional organizational and multitasking abilities.

  • Impeccable attention to detail.

  • High emotional quotient with demonstrable empathy and consideration regarding the Principal and others.

  • Ability to interact with, coordinate, and manage vendors and staff.

  • Strong communication skills, both written and verbal.

  • Proficiency in using productivity tools and software.

  • Ability to maintain confidentiality and exercise discretion.

  • Flexibility to travel and work irregular hours as needed.

  • Must possess a valid US or EU Passport.

  • Knowledge of San Juan, Puerto Rico is a plus.

  • Bilingual in English and Spanish is a plus.
