REDWOOD CITY SCHOOL DISTRICT

CLASS TITLE: DISTRICT RECEPTIONIST:

BASIC FUNCTION:

Under the direction of the Database Manager, receive and route telephone calls to appropriate departments and personnel; provide information to callers; greet and direct visitors to various locations; perform a variety of clerical duties in support of the Student Information System (SIS). Performs a wide variety of tasks pertaining to maintenance of student records, data input, reconciliation and correspondence.

 

REPRESENTATIVE DUTIES:
Receive incoming calls; route calls to appropriate departments and personnel; take and relay messages.
Greet visitors and callers; provide routine information, directions and general assistance.
Receive and transmit various reports, statements and documents to appropriate school and District personnel.
Enter basic data in the District Student Information System.
Receive, stamp and process bills and statements and process according to established procedures. Perform routine clerical duties such as typing, filing, and computer input.
Process all incoming and outgoing mail.
Operate office equipment such as typewriter, calculator, copier, metered stamp machine.
Contact school sites and other District departments regarding timely submission of forms, reports and other material.
Organize, schedule and manage operations of the reprographics department.
Set work schedule and interpret work orders.
Operate various duplicating machines and equipment, print a variety of materials for District schools and offices.
Count, assemble, wrap, sort, box and ship outgoing material to proper school or office.
Maintain inventory control of supplies and stock levels needed to accomplish printing functions.
Cut, collate, staple, bind, proof and assemble completed printed material.
Maintain a record-keeping system of materials printed.
Monitor copyright laws as they relate to the District
Serve as key operator for copiers as assigned; prepare and tabulate use report.
Verify and collect student registration paperwork.
Assist parents/guardians with online registration.
May require evening and/or weekend work.
Must be able to communicate in Spanish.
Perform related duties as assigned.

Interpersonal skills using tact, patience and courtesy.
Alpha and numerical filing system.
Telephone techniques and etiquette.
Operation of office machines including a computer terminal.

ABILITY TO:
Add, subtract, multiply and divide quickly and accurately.
Learn District organization, operations, policies and objectives.
Type at 40 words per minute.
Establish and maintain cooperative and effective working relationships with others.
Understand and follow oral and written directions.
Operate office machines including a computer, calculator, typewriter, postage machine and OCÉ or similar copier.
Operate auxiliary equipment including collator, paper cutter, shredder, duplicator and typewriter. Prioritize work orders and schedule duplication processing tasks.
Prepare and maintain routine records and filing systems.
Establish and maintain daily work schedules.
Meet physical requirements necessary for the successful performance of required duties.

EDUCATION AND EXPERIENCE:
High school diploma or GED from accredited institute, and one year of general office experience involving public contact and record-keeping. Bilingual Spanish/English required.

LICENSES AND OTHER REQUIREMENTS:
Valid California driver’s license, evidence of appropriate automobile insurance based on DMV regulations and insurable by the District liability insurance carrier.
