Job description

About the Role:
As a CBRE Sr. Meeting - Events Coordinator/ Maintenance Assistant, you will assist with planning, coordination, and day-of execution of medium to large meetings, conferences, and events while also working directly with the Maintenance Manager to assist with general building maintenance and repairs.
This job is part of the Events job function. They are responsible for the creation, management, and execution of marketing events and meetings for internal and external clients.
This is a unique hybrid role that will combine the above-mentioned meeting and events coordination, with basic A/V set up, and general building maintenance to include light trouble shooting and repair as well as work order writing. Solid skills with Microsoft suite and a previous CMMS use will prove helpful in this role.
*The ability to list and move equipment up to fifty pounds will be necessary for Meeting and events set up.
* Hours may vary - Approx 9:30 - 6:00 Fridays are typically slower and tend to be 8:30 - 5 (Some flexibility is needed based on meeting and events scheduled) This role is supporting one of our clients in the Healthcare industry and may require an additional background check along with CBRE's standard check.
What You'll Do:
  • Primary point of contact for larger meetings and events. Provide support for smaller meetings and events as needed. Create a hospitable environment for attendees, event owners, and vendors on the day of the event.
  • Work with clients, vendors, and team members to coordinate guest services.
  • Perform conference room turnover and midday room refresh. Reconfigure rooms for evening indoor and outdoor spaces.
  • Conduct room set up, refresh, and service items. Maintain outlines of large space configurations.
  • Complete room checks and ensure technical and visual spaces are functional. Troubleshoot basic audio and technical issues.
  • Review post-event storage and inventory. This includes tables, chairs, and AV equipment.
  • Respond to event activities such as gathering event supplies, equipment needs, food & beverage services, facility security, etc.
  • Manage a large inventory of event supplies.
  • Handle preventative and reactive maintenance for the overall building and work with the Maintenance manager when vendors are needed.
  • Generate post-event reporting and reconciliation reports.
  • Organize vendors and supporting speaker requests. Ensure vendor safety and insurance requirements are compliant.
  • Recognize and solve typical and atypical problems that can occur in the work area without supervisory approval.
  • Evaluate and select solutions from established options.
  • Impact team through the quality of the services or information provided.
  • Follow standardized procedures and practices and receive regular but moderate supervision and guidance.
What You'll Need:
  • High School Diploma or GED with 2-3 years of job-related experience.
  • OSHA 10 would be advantageous
  • Fulfill the physical requirements associated with this role. This includes stooping, standing, walking, and climbing stairs. Must be able to lift/carry heavy loads of 50 lbs. or more.
  • An established understanding of work routines and standards and applying skills and knowledge in a range of processes, procedures, and systems are required.
  • Solid foundation with Facilities Maintenance and light repair
  • Requires intermediate problem-solving skills with the capacity to review and select solutions from available options without supervisory approval.
  • Ability to explain detailed and complicated information within the team in a clear and concise manner.
  • Advanced knowledge of Microsoft Office products. Examples include Word, Excel, Outlook, etc.
  • Strong organizational skills with a robust inquisitive mindset.
