Job Description

Provide excellent customer service by assisting the sales team with the order and logistics of the customer's material handling needs; ensuring the customer receives their items accurately by the promised delivery date.

 

Duties & Responsibilities

  • Handle customer inquiries and ensure the inquiry is routed to the appropriate ACT Sales Representative.
  • Build effective relationships with ACT staff, at all levels
  • Assist Sales team with sales order and logistics, including:
    • Provide details of special incentives
    • Customer account set-up for leases, including credit application and financial approval
    • Review sales orders for accuracy, working with sales reps, sales managers and vendors on questions and corrections
    • Order equipment, attachments, batteries and other material handling products specified on sales order
    • Research and select best mode of transportation for sales order
    • Communicate with Accounts Receivable regarding increases to customer credit
    • Issue purchase orders
    • Create sales prep work orders, partnering with the service team to prep equipment
    • Track and expedite vendor orders
    • Assist sales rep to solve internal and external discrepancies on orders
    • Invoice customer sales orders
    • Maintain files of customer sales orders for research and audit
  • Generate commission reports for assigned Sales reps
  • Maintain accurate reporting of equipment backlog and other requested statistics
  • Conduct equipment and allied inventory as requested, correcting inaccuracies in the database
  • Provide coverage for other Sales Coordinators during vacations, absences, etc.
  • Assist with training
  • Participate in meetings: Sales/Service teams; quarterly and annual Sales meetings
  • Order product literature
  • Perform reporting/process improvement:
    • Create awareness of daily sales order issues
    • Assist other departments with testing processes involving ELC
    • Assist with continuous improvement of sales coordination processes, including research and testing
    • Provide training as needed

Qualifications

  • 3 - 5 years experience as sales coordinator strongly desired
  • High School diploma or equivalent
  • Proficiency in MS Office (Excel, Word, Outlook)
  • Strong administrative skills
  • Good organizational skills, tracking of details and follow-up of multiple tasks within a timely fashion
  • Must be able to work efficiently without close supervision
  • Possess good verbal and written communication skills
  • Good problem-solving skills
  • Good basic accounting knowledge
  • Ability to work in a fast-paced and changing environment
  • Ability to handle constant interruptions while remaining focused on the task
  • Forklift and/or Material Handling industry experience/knowledge a plus
