Our International Personal Care retail client is seeking a Prop Production & Project Coordinator is responsible for driving the workflow process for the production and delivery of theme props that bring the brand story to life in stores. This role partners closely with external vendors and cross-functional internal teams to ensure quality execution, cost efficiency, and on-time delivery across all projects.
Key Responsibilities
Manage end-to-end workflow of prop production and delivery across multiple concurrent projects
Partner directly with external vendors to communicate expectations, develop timelines, oversee production, conduct quality checks, and perform factory visits when necessary
Provide prop allocation information to vendors and logistics partners to ensure accurate store distribution
Collaborate with Creative and Procurement teams on print production processes to drive operational efficiencies
Partner with Visual Communications to guide store-level execution
Communicate prop specifications, logistics details, and in-store timing requirements to Store Operations
Maintain all internal prop data, specifications, tools, and historical documentation
Conduct bi-weekly inventory reviews with Procurement to inform real estate store needs and replenishment planning
Manage and action store and Home Office prop requests
Maintain team production calendar and ensure milestones are tracked and met
Partner with Logistics to ensure on-time delivery to distribution centers and stores
Qualifications
1–3 years of project management experience (retail experience preferred)
Familiarity with print production, manufacturing, and quality control processes preferred
Demonstrated ability to manage multiple projects in a fast-paced environment
Strong organizational, problem-solving, and communication skills
Proactive and solution-oriented mindset
Proficiency in Excel, Word, and PowerPoint required
Experience with InDesign and FileMaker Pro preferred
Ability to lift and move packages up to 50 lbs
