Job Title
Coordinator of Conferencing
Nature of Work
To provide assistance and/or guidance for the campus and to local, regional and national organizations in the coordination of successful events (including but not limited to conventions, workshops, social events, conferences, and meetings) held at or for the institution.
Examples of Work Performed
Essential Duties:
1. Commit to providing a positive experience to all Chadron State College conference clients, responding to requests and fulfilling the needs of the clients.
2. Develop and manage procedures for the coordination of all services involved in conferencing event management.
3. Initiate, coordinate, implement, support and monitor all logistical aspects of conferences and special events for external and internal clients and summer use of residence halls including, but not limited to, room scheduling, housing accommodations, facilities set-ups, contracting, invoicing, coordinating with security, athletics, custodial, maintenance, and college relations departments as well as contracted food service vendor.
4.Coordinate audio visual needs, set up requirements, and effectively communicate contract details to all clients.
5. Respond timely to all inquiries for the use of college facilities, maintain communication and prompt follow-up with a professional proposal including campus information, suggestions, and final agreement compiled in a Facility Rental Agreement.
6. Expand revenue-producing activities located on the CSC campus that directly benefit auxiliary operations.
7. Maintain effective budget control for the Department.
8. Maintain the electronic campus-wide facility reservation request system and provide access and training for various employees to schedule events through the system. This system is used for utilization reports.
9. Coordinate materials displayed on the digital sign at the Main Street entrance to campus and all digital signs located in the Student Center except for dining service digital signs located in the dining hall and market.
10. Maintain up to date knowledge of trends/developments in the field of Conference and Event Planning.
11. Act as content manager for assigned websites. Coordinate with College Relations to create, manage and maintain content for conference services and social media.
12. Act as the building manager for the Student Center.
Secondary Duties:
1. Coordinate with the Chadron Chamber of Commerce and local businesses/organizations to identify community needs for conference and event space and create a positive awareness of the spaces available for rent at Chadron State College.
2. Promote conference services to potential clients in education associations, youth activities, government agencies, schools as well as business, industry, civic and service organizations.
3.Direct the conferencing efforts for the satisfaction of client needs while utilizing campus facilities.
4. Maintain effective budget control for the Conferencing Office.
5. Recruit, train, supervise and assign duties to full and/or part-time conference staff.
6. Provide support (ticket sales, mailings and deposits) to the Post Playhouse as needed.
7. Other duties as assigned by supervisor.
Required Qualifications
Bachelor's degree
Preferred Qualifications
Experience in event coordination and management.
Strong organizational and detail-oriented skills.
Excellent verbal, written and interpersonal communication skills.
Ability to work weekends and evening hours as necessary.
Bilingual - Spanish speaking.

The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment. Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
