SUMMARY

The Facilities Manager is responsible for ensuring the success of the Mendocino Farms' Facilities Team and our operators. Reporting to the Director of Facilities, your main areas of responsibility will include maintaining the safety and maintenance of all Mendocino Farms buildings and properties, evaluating the effectiveness of vendors, and managing the coordination and completion of repair and maintenance and capital projects.

KEY DUTIES / RESPONSIBILITIES
  • Confirms that restaurant properties are safe and maintained through inspections of buildings and property sites; follows up on any deficiencies found and works with the Human Resource Department and Operations Department, and local health/building departments to manage resolution of any problem areas.
  • Travels to designated locations to inspect and visit other Mendocino Farms properties. Submits written reports and findings and works with vendors and operations to resolve facility issues.
  • Maintains and coordinates work orders, proposals, and invoice approval through facilities service portal and approves Repair and Maintenance and Capital Appropriations within guideline limits.
  • Routinely communicates with operations and responds to calls from the field regarding repair and maintenance issues, including troubleshooting a wide range of challenges from kitchen equipment breakdowns to plumbing and roofing.
  • Assists operations with warranty issues.
  • Maintains inventory levels at the Mendocino Farms fulfillment center and orders additional and replacement parts as necessary from approved vendors.
  • Evaluates effectiveness of vendors and compliance of service programs, including:
    • repairs
    • preventative maintenance
    • hood cleaning
    • fire suppression
    • sign maintenance
    • security
    • fire alarm, and other facilities focus areas
  • Ensures qualified vendors in all areas.
  • Manages the coordination and completion of repair and maintenance and capital projects, including:
    • developing scope of work
    • reviewing capital appropriations for accuracy
    • obtaining and analyzing bids
    • selecting appropriate contractors and vendors within established guidelines
    • supervising projects to ensure budgets and time schedules are met
  • Manages the coordination of transition from new store openings to operations, including the set-up of new vendors and PM programs.
  • Assists with training managers on all new facilities.
  • Maintains effective communication with restaurant managers, Operation Directors, and the Director of Facilities regarding status of current work projects.
  • Prepares written communication with various contractors, vendors, and corporate departments on maintenance and capital construction issues.
  • Tracks all capital spending.
  • Reviews, analyzes, evaluates, and prepares reports on maintenance and capital costs that measure budget and time line compliance.
  • Maintains and updates shared files of the Company's system with current pictures of each restaurant (to include frames of roof, exterior, interior, and equipment) for access by the appropriate parties.
  • Maintains both electronic and paper files on units.
  • Communicates across all areas of the business including but not limited to Culinary, Food Safety and Quality Assurance, Operations, Finance, Accounting, Marketing, Legal and Restaurant Development.
  • Performs other related duties, tasks and responsibilities as required, assigned, and directed.

QUALIFICATIONS

Experience - 3-5 years related experience in distribution, logistics, purchasing, supply chain management, hospitality and/or customer service, preferably in the restaurant industry.

Skills/Knowledge/Abilities -
  • Extensive knowledge of the project management and restaurant facilities maintenance (Thorough understanding of restaurant operations and equipment required).
  • Excellent prioritization, interpersonal, problem-solving, and collaboration skills.
  • Effective verbal and written communication skills. Must communicate effectively with operations and vendors.
  • Skilled in contract administration, project and time management, and budgeting.
  • Ability to read and understand architectural plans, construction and other documents.
  • Highly motivated and organized.
  • Ability to demonstrate good judgment, define problems, collect data, establish facts and draw valid conclusions using sound decision-making skills.
  • Ability to effectively solve practical problems and deal with a variety of changing situations under stress while exhibiting time management capabilities.
  • Knowledge to perform basic math skills, work with numbers and math concepts; and apply mathematical operations to such tasks as structural analysis of building systems.
  • Working knowledge of desktop computers and MS Office Suite, particularly Excel.
  • Moderate travel required to company locations and corporate headquarters in Los Angeles, CA.
  • Job duties require ability to work on-call status due to the operational hours of the locations and nature of repairs/projects (Hybrid position).

Physical Requirements - Must be able to speak and hear clearly on the telephone and in person. Must be able to operate a computer, i.e., desktop, laptop, tablet, etc. Ability to travel as business needs require, 10% of the time or less.
