Job Overview

Position Summary

Crew is actively seeking an Event Coordinator to join our team in supporting the multi-unit events team with administration, coordination, and execution of all contracted events. This individual will provide ongoing support to the broader Events Team through sales assistance, coordination oversight, and on-site direction.

The ideal candidate has 3+ years of hospitality experience, with at least 2 years in Events preferred. This role requires strong communication skills, both written and verbal, and the ability to manage event logistics with precision and professionalism.


Essential Duties & Responsibilities

Event Sales Support and Administration

  • Capture incoming leads with attentive phone conversation; expedite the sales process through prompt verbal communication
  • Perform administrative duties including menu printing, vendor outreach, and event system updates
  • Support Director of Events in all event execution tasks including but not limited to email correspondence, walkthroughs, and site-visits as directed
  • Finalize all BEOs for FOH and BOH teams; ensure accurate and thorough communication. Liaise with internal teams to ensure service planning is appropriate and execution is accurate to client specifications
  • Prepare for weekly event meetings and distribute finalized BEOs
  • Support development and maintenance of event procedures and service documents
  • Liaise with external vendors as needed

Event Execution

  • Manage multiple events each week, including producing all event documentation (BEOs, timelines, and floor plans)
  • Coordinate closely with Culinary and Operations teams to confirm event logistics, menus, and dietary needs
  • Ensure seamless event execution through clear communication with staff and clients
  • Oversee setup, breakdown, and real-time troubleshooting during events
  • Lead pre-shift meetings as related to events and communicate responsibilities to FOH staff as directed
  • Maintain updated event calendars, orders, and financial tracking

Minimum Qualifications

  • 3+ years of experience in hospitality, event coordination, or restaurant operations
  • Restaurant or hospitality event sales experience preferred
  • Strong organizational skills with the ability to manage multiple events and priorities simultaneously
  • Excellent written and verbal communication skills
  • Creative, self-motivated, and detail-oriented
  • Ability to work independently and within a collaborative team environment
  • Comfortable interfacing with high-profile and diverse clientele
  • Proficient in Google Suite; previous experience with Resy and Toast a plus
  • Available for a flexible schedule with regular weekend availability based on needs of the event calendar
  • Ability to perform essential job functions when working in a high business volume, fast-paced environment
  • Ability to walk, stand, and/or bend continuously and for extended periods of time as required to perform essential job functions
  • Able to lift 30+ lbs.
  • Willing to help other coworkers
  • Able to work nights, weekends and holidays, and variable schedule, per the needs of the business
  • Willingness to work in outdoor climate conditions
