Job description

The Wholesale Operations Associate is responsible for coordinating and maintaining the VA order process for the sales team including processing e-mail correspondence, faxes, data entry and maintenance of files in FileMaker.

Responsibilities:

  • Partner with Territory Account Manager to bring VA referrals to order complete, including VA quotes and reviewing and processing VA purchase orders
  • Conduct clinic outreach for missing referral information
  • Process all order related paperwork in a timely and accurate manner ensuring service levels are met
  • Ensure paperwork meets VA requirements and standards
  • Provide timely follow up and excellent customer service to Veterans, VA clinicians, Prosthetics Officers and internal team members
  • Ensure regulatory requirements such as HIPPA are followed
  • Serve a point of contact between Tactile Medical and the VA Medical Centers across the country
  • Support all Tactile VA programs including purchase pricing, Flexitouch trial program and all pilot programs
  • Educate the VA Purchasing Departments (Prosthetics and Contracting) on Tactile Medical products, part numbers, order process and pricing
  • Act as the subject matter expert on VA business and be the point of contact for the VA purchasing process and requirements
  • Review, respond and process all electronic communications
  • Monitor and distribute VA Reporting
  • Perform all job duties while maintaining compliance with all appropriate regulatory requirements including HIPAA
  • Other duties as assigned

Qualifications:
Education & Experience

Required:

  • Bachelor's Degree or equivalent work experience
  • 2+ years of experience in customer service or a patient-oriented environment

Preferred:

  • Veteran or experience working or helping in the Veteran community
  • Social work or Clinical background
  • Previous experience working with Filemaker

Knowledge & Skills:

  • Strong customer service skills
  • Ability to successfully work independently and with minimal face to face social interaction
  • Strong sense of urgency and teamwork
  • Demonstrated ability to be organized, detail-oriented with the ability to manage your time diligently
  • Proven ability to multi-task, prioritize and meet required deadlines
  • Strong aptitude for learning systems and understanding processes quickly
  • Strong data entry skills
  • Proficiency with Microsoft Word, Excel, Teams and Outlook
  • Thrive in a fast-paced, continuously changing environment by balancing multiple deadline driven priorities
  • Operate as a strong team player with a high degree of flexibility
  • Problem solve and share best practice
  • Exhibit excellent grammar, verbal and written communication skills
