ABOUT VEJA

Since 2005, VEJA has been creating sneakers in a different way, mixing social projects, economic justice, and ecological materials. VEJA uses Brazilian and Peruvian organic cotton for the canvas and laces, Amazonian rubber for the soles, and various innovative materials from recycled plastic bottles or recycled polyester. VEJA sneakers are produced in high-standard factories in Brazil.

Job Description:

We are currently looking for a Wholesale Operations Assistant to join our growing team in North America. This role will report to the Wholesale Operations Manager.

In this role you will support the Operations team and Wholesale Commercial team with operational and administrative duties as it relates to shipping and logistics.

Our North America office is based in New York City and offers a hybrid work environment (Monday to Thursday in office and Friday remote work eligible).


Main Responsibilities:

  • Compile and deliver comprehensive weekly shipping reports for the Wholesale Team as instructed by the Wholesale Operations Team detailing shipping by warehouse and partner.
  • Manage the ordering and delivery of pre-production labels at the beginning of each season (AW and SS) for the limited accounts that require it.
  • Maintain shipping forecasts and create outbounds for the Wholesale commercial team to facilitate order shipments on a daily basis.
  • Validate EDI orders to ensure alignment with ERP system orders, highlighting any discrepancies. Key data points checked will be ordered quantities, order value, ship to location, EAN codes, and ship window.
  • Send confirmation and ready to ship emails to wholesale partners.
  • Input order splits for Key Accounts across numerous stores and distribution centers.
  • Address wholesale customer inquiries regarding tracking and order status promptly.
  • Partner with accounting to track customer prepayments and balances
  • Maintain order and customer data in ERP, including order cancellations, discounts, shipping addresses.
  • Issue credit notes and process returns for all wholesale partners.

Requirements:

  • Commitment to the VEJA Project and vision; passionate about fair-trade brands.
  • This is an entry level role, previous internship in wholesale, logistics, or operations with a likeminded brand required, footwear is a plus.
  • Familiarity with Microsoft Excel as well as interest in learning v-lookups and pivot tables.
  • Ability to work autonomously once assignments and directions are instructed.
  • Ability to prioritize and multi-task effectively and maintain a positive attitude while moving between changing priorities.
  • Strong organizational and follow-through skills; must pay attention to the details.
  • Work efficiently and effectively with both in-office and remote team members.
  • Bachelor's degree in business administration or similar area.
  • Bilingual in English and Spanish required.
  • The estimated compensation range for this role is $55,000-$65,000 annually to align with experience, plus a comprehensive benefits package.
