What is a virtual event?

Virtual events are gatherings or experiences that take place online rather than in a physical location. They can include conferences, webinars, workshops, trade shows, or networking sessions, all hosted using digital platforms. Virtual events allow participants to join from anywhere in the world, often featuring live or pre-recorded presentations, interactive sessions, and networking tools. They are increasingly popular for their convenience, cost-effectiveness, and ability to reach a global audience.

What are the key skills and qualifications needed to thrive as a virtual event coordinator, and why are they important?

To thrive as a Virtual Event Coordinator, you need strong organizational skills, attention to detail, and experience in event planning or hospitality, often supported by a relevant degree or certification. Familiarity with virtual event platforms (such as Zoom, Hopin, or Webex), project management tools, and basic audio/visual technology is essential. Excellent communication, problem-solving, and adaptability help you manage remote teams, engage online audiences, and resolve issues quickly. These skills are vital for delivering seamless, engaging virtual experiences that meet client goals and participant expectations.

What are some common challenges faced by professionals organizing virtual events, and how can they be addressed?

Organizing virtual events often involves challenges such as ensuring attendee engagement, managing technical issues, and coordinating with speakers across time zones. Addressing these requires proactive planning, including thorough platform testing, creating interactive content like polls and breakout sessions, and clear communication with all participants. Collaborating closely with technical support teams and utilizing project management tools can also help streamline logistics and deliver a smooth event experience.

Job description

SUMMARY:
A major non-profit organization with a focus on issues in the Middle East is looking to hire a Virtual Event Producer into a full-time, salaried, staff position with benefits. This individual will join an already robust Event Production, Programming & Technology team and will be involved in the development, coordination, and execution of virtual events via an in-house studio and control room.
The Virtual Event Producer will be primarily responsible for leading content development and creative direction, managing budgets and logistics, and handling technical setup and rehearsals. Applicants with previous experience analyzing performance data and managing budgets/logistics should let us know about their relative strengths in these areas.

This individual will work closely within the Event Production, Programming & Technology team and with outside partners to ensure that each event is executed flawlessly from conception to completion.

To succeed in this role, the ideal candidate must pay close attention to the details and have an ability to coordinate and manage production elements effectively and efficiently. They should feel confident proactively tackling to-do lists while anticipating next steps within an event's timeline. This individual must thrive in a team-oriented environment and feel comfortable collaborating regularly with stakeholders.

HISTORY:

The employer has hired full-time staff directly from Brainstorm Creative Resources previously and we have also helped many individuals transition from freelance/temporary roles with this organization, into full-time positions. We are looking forward to sharing employer details and information about the hiring manager with the most well qualified applicants.
JOB DUTIES + RESPONSIBILITIES:

Event Planning & Strategy

Develop overall program structure and individual segments for hour-long, multi-segment virtual events that occur on a regular basis.

Collaborate with stakeholders and cross-functional teams in the lead-up to events, to ensure that goals are met with a high level of production.

Direct the development of graphics -including on-air graphics and physical sets- to ensure brand consistency and adherence to best practices.

Logistics & Coordination

Create and maintain detailed event plans, including tech flows, rehearsal schedules, and production schedules.

Arrange rehearsals with a team of in-house talent, freelancers, and other stakeholders ahead of broadcasts.

Maintain relationships with a bench of freelance AV crew to ensure proper staffing for each event.

Live Event Execution

Oversee live broadcasts as Technical Director/Show Caller: manage program flow, work with the Engineer to troubleshoot technical problems in real time and ensure a positive and professional user experience.

Post-Event Analysis

Track key metrics, gather attendee feedback, generate insightful reports, and use this data to optimize future events and demonstrate ROI.

Technical Management

Collaborate closely with the Director of Event Technology to manage virtual event platforms such as Brightcove, Castr, and Salesforce Marketing Cloud, ensuring there is an appropriate broadcast solution for each type of production.

QUALIFICATIONS + SKILLS:

Required

At least three to five years of experience (more would be great too!) working consistently as an Event Producer with a focus on live production.

Work examples provided via links to virtual events, case studies or summaries. Accepted formats include URLs, PDFs and JPEGs.

Experience with Zoom, Zoom Webinar, and Wirecast (or similar technology).

Full competency in Microsoft Office.

Demonstrable experience with project management and file management applications.

Strong file management skills.

Superb attention to detail and a "get-it-done" work ethic.

Ability to recognize high production values and maintain attention to detail across all tasks.

Ability to operate flexibly, find creative solutions, and adapt to changing circumstances.

All applicants must have clearly outlined experience with virtual event platforms. A preferred list of platforms is included below.

Outstanding communication and interpersonal skills.

Confidence working on multiple projects simultaneously.

Preferred

Experience with virtual event platforms such as Brightcove, Castr, and Salesforce Marketing Cloud preferred, but not required if the candidate can demonstrate parallel knowledge with other platforms.

Experience with Smartsheet.

Knowledge of the U.S. political system and international affairs.

WORK LOCATION + HOURS:
This is a hybrid position that requires a three days/week on-site presence at the employer's offices in Washington, DC. In-office days are Mondays, Tuesdays and Thursdays. The individual in this role will be eligable to work from home on Wednesdays and Fridays (the norm) provided there isn't a live event that requires them to be in the office (not typical). The employer's offices are in a building that it owns, which is located a short walk from Union Station and two other Metrorail stations.

From time to time, the person in this role will need to be available to work when events occur on Sundays. No travel is expected for this position.

SALARY:

Based on what we have learned during conversations with the employer, Brainstorm Creative Resources is advertising an annual salary of up to $115K.
We encourage our employer clients to pay competitively. Highly and relevantly experienced applicants can expect that we will make a strong case to the employer, to pay you at or above the advertised salary ceiling. We're also hoping to hear from strong applicants who meet our minimum qualifications but may be well positioned to grow toward the advertised salary threshold over the next two to three years.
The actual rate and/or salary offered will be commensurate with experience and market norms. It will also be based on some or all of the following factors: credentials as detailed in your resume, work examples you provide, interview experiences with Brainstorm Creative Resources and the employer, and the quality of reference providers and references provided.

BENEFITS:
The employer has shared a comprehensive benefits outline with us. We can provide specific details to the most well qualified applicants. Some benefits include: medical, prescription drug, dental, vision, FSA, life and disability insurance, time off for seventeen (17) national or other holidays, ten (10) days of PTO during your first year, up to eight (8) weeks of parental leave after your first year, pet insurance, 401k, on-site fitness center.
